An Administrative Technician job is available with the City of Fort Worth Fire Department Training Division. The Fort Worth Fire Department Training Division delivers high-quality recruit trainee academy program, continuing education, and real-world simulations designed to equip our civil service employees with the skills, knowledge and confidence they need to respond effectively in any emergency. As an Administrative Technician, you will contribute to the success of the Fire Department Training Division by assisting with the daily administrative operations, supporting training events, maintaining accurate records, and purchasing equipment and supplies.
Minimum Qualifications:
- Associate degree from an accredited college with major course work in Business, Business Administration, Finance, Public Administration, Office Administration, or related field
- Two (2) years of clerical and administrative experience
Preferred Qualifications:
- Experience working with PeopleSoft Financial Supply Chain Management
- Intermediate to Advanced skills with Microsoft Office Suite (Excel, Outlook, PowerPoint, Word)
- Working knowledge of basic event logistics including vendor coordination, room set up specifications and cleanup procedures
- Bilingual skillset (English/Spanish)
The Administrative Technician job responsibilities include:
- Administrative Support: Provide technical administrative assistance to Fire Training staff, including preparing documents, maintaining employee records, and managing office supply purchases.
- Customer Service: Respond to internal and external inquiries, resolve routine issues, and direct individuals to appropriate departments or contacts.
- Procurement & Data Entry: Verify procurement card transactions, gather and enter purchasing data into the PeopleSoft system. Maintain accuracy and compliance with financial procedures.
- Receiving & Vendor Organization: Perform receiving duties in PeopleSoft, ensuring all receipts are properly recorded. Coordinate with Fire Purchasing staff and vendors to resolve issues related to quotes, invoices, and credit transactions.
- Event Support: Assist with the setup, execution, and breakdown of Fire Training events. Track and manage shared equipment such as tables, chairs, coffee urns, and table covers.
- Mail Distribution: Daily collection and distribution of division mail.
- Other Duties: Perform additional tasks and responsibilities as assigned.
Working Conditions and Physical Demands
Depending on assignment, positions in this class typically require touching, talking, hearing, seeing, grasping, standing, walking and repetitive motions.
Sedentary Work – Depending on assignment, positions in this class typically exert up to 10 pounds of force occasionally, a negligible amount of force frequently, and/or or constantly having to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
Applicants for this position must pass a Criminal Justice Information Systems (CJIS) fingerprint-based background check and maintain CJIS eligibility. Due to CJIS requirements related to system access, the following will result in being disqualified for this position: Felony Convictions, Felony Deferred Adjudication, Class A Misdemeanor Conviction, Class B Misdemeanor Convictions in the last 10 years, Class A Misdemeanor Deferred Adjudication, Class B Misdemeanor Deferred Adjudication in the last 10 years, an Open Arrest for Any Criminal Offense (Felony or Misdemeanor), and ALL Family Violence Convictions regardless of class.
