Position Summary: 

OceanX is seeking a Recruiting and Business Operations Associate to help shape and execute our people and organizational operations strategy in Singapore. This unique hybrid role combines responsibilities across talent acquisition and people operations - including recruiting, culture-building, and performance management - with core business operations such as reporting, strategic planning, and enterprise process execution.

As a key member of the Business Operations team, this role will collaborate cross-functionally with teams in Singapore and global offices to drive operational excellence and support company growth. It is ideal for a proactive, analytical, and culturally intuitive individual who is eager to help build mission-aligned systems and high-performing teams.

This role involves regular work outside of standard business hours - typically early mornings or evenings - to maintain strong collaboration with our New York-based team.

Duties and Responsibilities:

Recruiting & People Operations (50%):

  • Manage full-cycle recruiting processes in partnership with hiring managers.
  • Draft and post job descriptions; source, screen, and coordinate candidate pipelines.
  • Maintain hiring documentation and track pipeline metrics using tools like Greenhouse.
  • Support onboarding and new hire integration.
  • Partner with leadership on culture-building initiatives and performance review processes.
  • Coordinate global people operations documentation and standard operating procedures.

Business Operations (50%):

  • Lead and support cross-functional initiatives across OceanX’s departments.
  • Develop high-quality presentations for internal strategy and external stakeholders.
  • Conduct analysis and create models using Excel to inform business decisions.
  • Build and maintain project trackers and performance dashboards in tools like Notion, Smartsheet, and Monday.com.
  • Use AI tools (e.g., ChatGPT) to increase operational efficiency and content development.
  • Collaborate with team members in Singapore and New York to implement enterprise processes.
  • Additional duties as assigned.

Qualifications:

  • Professional Experience:  
    • Bachelor’s degree in Business Administration, Human Resources, Organizational Psychology, or a related field; advanced degree (e.g., MBA or Master’s in Organizational Development) a plus
    • At least 7+ years of relevant experience in recruiting, people operations, business operations, or consulting roles
    • Demonstrated success managing full-cycle recruitment
    • Expertise in creating professional presentations (especially with PowerPoint)
    • Strong Excel skills, including model building and analysis
    • Experience leveraging AI tools (e.g., ChatGPT, automation platforms, data analysis assistants) to streamline workflows, enhance marketing/operational efficiency, or support strategic decision-making is a plus
    • Experience using tools such as Greenhouse, Notion, Monday.com, and Smartsheet
    • Proficient in leveraging AI platforms like ChatGPT to streamline workflows 
    • Strong verbal and written communication skills
    • Background in consulting, high-growth startups, or mission-driven organizations with a strong executional and strategic focus is strongly preferred
    • Ability to work outside standard hours, including evenings, weekends for events and other timezones to coordinate with colleagues and colleagues based in New York
    • Ability to navigate and adapt to fluctuating workloads based on project timelines, team priorities, and major events or initiatives
    • Willingness to travel up to 15% domestically and internationally to meet with key stakeholders

Compensation and Benefits:   

Compensation for the role includes a competitive salary dependent on years of experience, level of education obtained, as well as applicable skillset), and an excellent benefits package, including a comprehensive employer paid medical plan and CPF.
