Job Overiew:
As part of the Otterbein Staffing Agency team, the Scheduler assists with the detailed day-to-day management of the business. Scheduler is the expert user of the Scheduling Platform and continually fills open shifts in all markets and all locations including last minute needs created by call-offs and no call no shows. The Scheduler will support the Business Office Manager in a variety of administrative and customer focused tasks becoming the go-to person on the team for a variety of projects and duties that are administrative in nature
Key Responsibilities Include but are not limited to the following;
Provide excellent customer service; the first point of contact for OSA employee questions – the face of OSA
Scheduling
- Expert user of the Scheduling Platform (currently Schedule Pop)
- Competently navigates and uses related Otterbein systems
- Assist location management and OSA employees in using and understanding the scheduling platform
- Proactively ensure coverage of all open shifts within each market through developing a system to keep track of which shifts are not filled and look ahead to anticipate potential openings to fill
- Use a myriad of approaches and tools to cover the open shift; often using a higher level of promotion to fill shifts
- Promptly work to fill open shifts when a call-off or unexpected vacancies occur
- Track call-offs and notify Director of status for potential disciplinary action
- Conduct follow-up checks to make sure the employee is actively working while resolving any issues and enhance employee engagement in filling open shifts
- Schedule and book short term contracts
- New Employees Support:
- Input into scheduling platform
- Schedule their first shifts
- Train on how to use the scheduling platform
- Assist in the onboarding to help new employees understand the Otterbein culture and to reconfirm the company's standards
- Rotate call every third weekend to address last minute call offs, shift vacancies. etc
Administrative Support
- Evaluate and resolve problems in a timely manner, escalating as needed
- Administrative assistance such as taking phone calls, emails, mail and filling
- Accurately enter data into HRIS and scheduling system, from a range of sources
- Prepare standard and ad hoc reports from various systems
- Assist in the employee onboarding to help new employees understand the Otterbein culture and to reconfirm the company's standards
- Ensure new employees receive badge and welcome package
- Maintain knowledge of industry trends; help ensure compliance.
- Perform other duties as assignee
Work Days//Travel
- Full-time : 40 hours per week
- Monday – Friday; every third week Monday – Thursday, 4 hours Saturday & 4 hours Sunday
- Shares on-call during the week and every third weekend with OSA Director and Business Office Manager
- Occasional same day travel
- Monday – Friday; every third week Monday – Thursday, 4 hours Saturday & 4 hours Sunday
Qualifications
- Education: High School diploma required. Associates or Bachelor’s degree preferred.
- Experience: Minimum of 1 year call center or customer service.
- Experience: Minimum of 1 year experience in scheduling
- Staffing Agency and/or Healthcare experience preferred.
- Computer Skills: Proficient in the Microsoft Office Suite: Word, Excel, PowerPoint, Outlook
- UKG, Greenhouse ATS experience is a significant plus.
