People Operations Coordinator

About the Job:

In preparation for Sama’s next phase of growth, we are searching for a seasoned People Operations Coordinator; you are an individual who can think beyond People Operations and People Management, be agile and solution-oriented.

You will be responsible for assisting in all aspects of the People Operations function, focusing on the resolution of employee issues, People communication, employee experience and other related People Operations initiatives. 

This role will serve as a key partner to the Senior Program People Operations Manager reporting directly to this role. 

Key Responsibilities:

  • Recruitment: assisting in the shortlisting process, participating in interviews, maintaining recruitment records, document verification and background checks. 
  • Onboarding process, Conducting the new employee onboarding, induction, orientation and post 3 months check-in.
  • Bench management: Maintaining a healthy bench, logical movement of bench staff, stellar handling of separation process ensuring excellent customer experience.
  • Payroll: Payroll data and validation, Resolution of issues, end-to-end payroll processing and reporting, HRIS handling for instance Sage/Zoho/NetSuite/CA; and partner with Payroll Manager EA.
  • Records : Prepare and maintain employee files in line with policies and laws. Prepare & issue letters such as Contracts, bank, separation letters.
  • Separation : Facilitate the employee separation formalities end to end. 
  • HR operational processes: Ensure smooth run throughout the employee lifecycle. This includes onboarding, movements, separation, This requires Maintain clean & up to date staff databases.
  • Employee relations : Partner with HRBP in handling disciplinary issues including record keeping of the same. Handle employee grievances as they arise.
  • Benefits administration: Benefits enrollment and termination, including but not limited to Medical, pension , GPA , and welfare programs.
  • Support: administrative logistics including transport, and outsourced services. Facilitate team bonding activities and partner in rewards and recognition program. Prepare and submit reports as and when required.
  • People Operations policies: Reviewing and sharing insights with the policy specialist; ensuring implementation and adherence of the same. Conducting quarterly awareness of company policies and procedures.
  • Performs other related duties as assigned by the line manager.

Minimum Qualifications:

  • Bachelor’s Degree in Humanities, Sociology or a related field plus Diploma in Human Resources.
  • 3+ Years’ experience in a People Operations related role.
  • Hands on experience using HRIS.
  • Excellent knowledge of Uganda employment laws.
  • Strong communication skills, both verbal and written (English).
  • Keen attention to detail, capable of doing reports and PPTs.
  • Ability to work with a sense of urgency and prioritize own work.
  • Team player with Good time-management and analytical skills.
