The Role 

The CEO Executive Assistant is a highly visible role responsible for providing direct, comprehensive, and strategic administrative support to the Chief Executive Officer. As an Executive Assistant at StarRez, you will serve as a trusted partner, managing the CEO’s time, priorities, and communications to ensure organizational effectiveness and alignment with business objectives. You will be proactive, resourceful, and able to exercise sound judgment while handling complex and sensitive matters with the highest level of confidentiality. In this role, you will interact with internal and external stakeholders at all levels, acting as a professional representative of the CEO’s office. 

 

Role Specifics 

  • Work Location: US - Remote 
  • Travel: 10% [The percent of travel is an estimation, and it could vary up or down based on business needs throughout the year.] 
  • Reporting Structure: Reports to CEO

What You Will Own 

  • Manage and optimize the CEO’s daily schedule, prioritizing competing demands and ensuring preparedness for meetings, presentations, and travel. 
  • Coordinate domestic and international travel logistics, including itineraries, accommodations, and contingency planning. 
  • Prepare briefing materials, presentations, and reports for executive meetings, board sessions, and external engagements. 
  • Act as the primary point of contact for the CEO’s office, maintaining professional and effective communication with board members, senior executives, investors, clients, and key partners, and managing highly sensitive and confidential information with discretion and integrity 
  • Draft, review, and edit correspondence, ensuring tone and accuracy reflect the CEO’s voice and organizational standards. 
  • Anticipate the needs of the CEO and provide proactive solutions to streamline decision-making and business operations. 
  • Coordinate logistics for leadership team meetings, offsites, and strategic events, including agenda preparation and follow-up action tracking. 

 

Required Qualifications 

  • 7+ years of executive administrative support experience, with at least 3 years supporting a CEO or C-suite executive in a dynamic, fast-paced environment. 
  • Exceptional organizational, project management, communication skills and time management skills with the ability to balance multiple priorities. 
  • Strong business acumen and ability to understand and anticipate the CEO’s priorities in alignment with organizational strategy. 
  • High level of discretion, integrity, and judgment in managing confidential and sensitive information. 
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams, Zoom, Slack). 
  • Ability to work extended hours and be available outside of standard business times when required.
