About the Role
As a Care Support Specialist (Medical Assistant) at Steadfast Health, you’ll be at the heart of our inpatient consultation model, supporting both patients and clinical teams within the hospital system — all while working 100% remote. You’ll serve as the first point of contact for patients and their care teams, ensuring every interaction is welcoming, empathetic, and supportive.
In this role, you’ll manage patient intake, scheduling, and data entry, while providing seamless operational support for our inpatient consult services. By helping coordinate care between patients, hospital staff, and Steadfast providers, you’ll make it easier for patients to access the treatment they need at a critical moment in their recovery journey.

Responsibilities
- Serve as the first point of contact for hospital providers and Steadfast’sinpatient consult team, delivering professional, compassionate communication that fosters trust and comfort.
- Provide administrative support to ensure smooth operation of inpatient consultation services.
- Collect and accurately document patient information, medical history, and consent forms, ensuring timely and precise data entry into Steadfast’s Electronic Health Record (EHR), Athena.
- Collect patient insurance details and confirm coverage.
- Maintain complete, accurate, and up-to-date EHR records, including treatment plans and test results, while protecting confidentiality.
- Collaborate remotely with clinicians, hospital staff, and administrative teams to ensure timely, coordinated, and efficient patient care.
- Uphold strict compliance with HIPAA and other regulatory requirements.
Background
- High school diploma or equivalent required; completion of a Medical Assistant (MA) training program preferred.
- Prior administrative or clinical support experience in a healthcare setting, ideally in behavioral health or substance use disorder (SUD) care.
- Strong organizational skills and attention to detail, with proven experience managing scheduling, data entry, and patient records remotely.
- Exceptional customer service and interpersonal communication skills, with the ability to build rapport in a compassionate, non-judgmental, and patient-centered way.
- Ability to manage sensitive or challenging situations with professionalism, patience, and empathy.
- Proficiency with digital tools and systems, including EHR platforms (e.g., Athenahealth), scheduling software, and secure communication platforms; ability to quickly adapt to new technologies.
- Passion for Steadfast Health’s mission to provide low-barrier, harm-reductionist, non-punitive care for individuals with substance use disorders.

While this role is remote, candidates must reside in one of the following states to be considered: FL, NC, NY, OH, PA, TN with preference for candidates in Nashville, TN.

- Ability to concentrate, review patient information, and enter accurate data into an Electronic Health Record (EHR) system.
- Capacity to manage multiple tasks simultaneously in a remote environment, including scheduling, documentation, and communication with clinical staff.
- May occasionally need to lift or move materials weighing up to 10 pounds (e.g., laptop, reference materials).
- Must have access to a private, quiet workspace to maintain confidentiality and compliance with HIPAA regulations.
