Parts and Service Operations Coordinator

Summit Bobcat’s Poughkeepsie branch is looking for a detail-oriented Parts & Service Operations Coordinator to be our go-to expert at the customer counter. You’ll process parts orders, schedule service work-orders, and keep inventory moving. Key Responsibilities

  • Customer & Sales Support
  • Assist walk-in, phone, email, e-commerce, and fax customers by quoting parts pricing, generating order forms, and processing sales invoices using NAV ERP.
  • Verify order accuracy (pricing, quantity, shipping) before release.
  • Provide proactive updates on order status, back‑orders, and shipping details.
  • Parts & Inventory Operations
  • Perform real-time parts look-ups using electronic manuals; source non-stock or special-order items as needed.
  • Monitor inventory levels, coordinate purchase orders, and manage inbound and outbound freight.
  • Maintain organized parts storage and accurate inventory counts.
  • Assist with shipping, receiving, and freight paperwork.
  • Service Scheduling & Work‑Order Management
  • Coordinate service scheduling and dispatching for technicians.
  • Create, update, and close service work‑orders, ensuring correct labor and parts charges.
  • Communicate repair status and maintenance updates to customers.
  • Keep detailed service records for warranty and audit purposes.

 

Qualifications

  • 2+ years of experience in a parts, service, or operations role within heavy equipment, automotive, or related industry
  • Exceptional communication, critical‑thinking, problem solving and organizational skills.
  • Proficiency in Microsoft Office and ability to learn new software quickly.
  • Excellent organizational skills and attention to detail.
  • Team-oriented mindset with a willingness to go the extra mile.
  • Experience with NAV ERP is a plus.
  • Ability to lift up to 40 lbs and stand at the counter for extended periods.

Pay Range

$49,920 - $60,320 USD
