Summary 

Topstep is looking for a hands-on IT Manager to build and scale our internal IT infrastructure, supporting onboarding, hardware management, and vendor coordination (3rd party providers, etc.) as we grow. This role is essential to ensuring a seamless, secure, and productive environment for our team across locations. We are looking for candidates based in the Chicago area. This role will follow a remote-to-hybrid model, and we strongly encourage the IT Manager to work from our Chicago office a few days a week. As part of the role, the IT Manager will be responsible for setting up and managing our hardware inventory, which will be stored and maintained out of the Chicago office. Onsite presence will help ensure efficient oversight and coordination of IT operations. Key Responsibilities

Employee Onboarding/Offboarding

  • Lead the IT components of employee onboarding and offboarding, ensuring timely hardware/software setup and access provisioning.
  • Ensure new hires receive timely and personalized IT setup instructions, especially for remote team members.
  • Collaborate with People Operations to deliver a smooth and secure employee experience.

Helpdesk & Remote Support

  • Act as the escalation point for day-to-day technical issues, working closely with 3rd party providers to ensure resolution across time zones.
  • Develop a robust internal helpdesk structure with clear SLAs and self-service resources for employees.
  • Provide responsive support for remote employees across hardware, software, VPN, and access-related issues.
  • Identify trends in support tickets to recommend system/process improvements.

IT Process Development

  • Build and document scalable IT processes across the organization, including onboarding, offboarding, and hardware provisioning.
  • Standardize and optimize workflows in coordination with 3rd party providers and internal stakeholders.

Hardware & Asset Management

  • Oversee the full lifecycle of IT hardware, including procurement, deployment, maintenance, inventory tracking, and disposal.
  • Maintain an accurate asset inventory system and ensure compliance with company security policies.
  • Coordinate shipping logistics and remote support for hardware replacements and troubleshooting.

Vendor Management

  • Serve as the primary point of contact for 3rd party providers 3rd party providers, ensuring high service quality, quick turnaround times, and proper escalation handling.
  • Evaluate and manage other IT vendors as needed.

IT Support & Security

  • Develop and refine internal support workflows, SLAs, and escalation protocols in collaboration with 3rd party providers.
  • Ensure endpoint security, access control, and adherence to IT best practices and compliance standards.
  • Work proactively with security and compliance leads to manage risk across a distributed workforce.

Tooling & System Access

  • Manage employee access to SaaS tools and internal systems through centralized identity management (e.g., Google Workspace, Okta).
  • Continuously evaluate and implement tools to support a productive, secure work environment.

Required Qualifications and Key Competencies

  • 3–5+ years of experience in IT operations, systems administration, or a related role.
  • Proven experience designing and scaling IT processes in a fast-paced or growing organization.
  • Strong knowledge of hardware lifecycle management, device security, and asset tracking.
  • Familiarity with modern IT stacks, SaaS tools, identity management platforms, and endpoint management systems.
  • Hands-on experience supporting distributed and remote teams, including troubleshooting hardware, connectivity, and access issues across platforms and time zones.
  • Experience managing MSP relationships (experience with 3rd party providers a plus).
  • Excellent documentation, organization, and communication skills.
  • Ability to work independently and drive projects from start to finish.
  • Ability to triage support requests, identify trends in helpdesk tickets, and develop proactive solutions or documentation.
  • A service-oriented mindset with the ability to stay calm under pressure and prioritize effectively.

Preferred Skills    

  • Experience with Google Workspace, Slack, Microsoft 365, Zoom, and Okta.
  • Basic scripting or automation experience (e.g., onboarding/offboarding workflows, user provisioning).
  • Familiarity with ticketing systems (e.g., Zendesk, Jira, Freshservice) and knowledge base platforms.
  • Understanding of IT compliance and security standards (e.g., SOC 2, ISO 27001) in a cloud-first environment.

New Hire Base Salary Range

  • $100,000-$130,000
  • Bonus: This position is eligible for a performance-based bonus as provided by the plan terms and governing documents.
  • The compensation offered will take into account internal equity and may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors.
