Executive Assistant/ Office Manager
Who We Are
We are looking for a highly talented and motivated Executive Assistant who thrives in a dynamic, fast-paced work environment while supporting our Directors of Sales in our Mexico City Office.
As an Executive Assistant/Office Manager within our sales organization at Verkada, you will have high visibility across executive leadership. You will ensure that the day-to-day operations of the sales organization run smoothly, employees are happy resulting in high productivity, and own the planning and coordinating of events both internally and externally. You are also responsible for providing operational support with a strong focus on customer service, while working in collaboration with the Workplace Team to provide and maintain a positive office environment for our Mexico City office.
We are scaling aggressively and our Executive Assistants are a strong foundation to making sure our organization stays inclusive, safe and fun!
This role reports directly to our Director of Sales in Mexico City.
Please note that this role is on-site in our Mexico City office.
Responsibilities
- Partner directly with Leadership to ensure our day to day operations and functions run smoothly.
- Drive internal and external meetings - coordination, scheduling, organizing and event planning.
- Manage & maintain a strategic calendar: monitor & schedule calendar requests.
- Be a strong support to leadership by taking on administrative duties to better support your executives (EX. taking notes, tracking action items, booking travel/accommodations, etc).
- Understand prioritizing tasks and meeting deadlines.
- Ad Hoc requests that support the sales teams.
- Facilitate the management of an ongoing delightful employee experience by providing operational support and maintaining the general organization and aesthetic of the physical office spaces.
- Assist in maintaining and enhancing the current Workplace programs (ex: mailroom operations, internal events, and manager inventory at our warehouse.)
- Plan and coordinate office events both internally and externally

Requirements
- A Bachelor's Degree is essential.
- 1-3 years of administrative support experience.
- Fluency in both Spanish & English.
- Attention to detail, coupled with creative problem solving and superior communication skills.
- Proactive mindset to handle regular activities without prompting, and advise in advance of potential issues.
- Project Management: you are organized, take ownership, plan & execute with a follow through before a deadline.
- Event Planning: you enjoy coordinating, scheduling & organizing off-sites/events.
- Track record of accomplishment in all previous roles.
- Ability to work well independently and as part of a team.
- Ability to navigate and flourish in a fast-paced, start-up environment.
- Proficient using Google G-Suite.
