SUMMARY

The HealthySteps National Office has a robust and growing set of resources, publications, and data systems to support our goal of impactful scaling of the HealthySteps model. This position, an integral member of the HealthySteps Operations team, will ensure that these critical resources, publications, and data systems are accurate, current, and ready for use, by coordinating key quality assurance and resource management efforts, and supporting related strategic planning and continuous improvement processes. This position is perfect for someone who has a proven track record of supporting quality assurance initiatives, is highly attentive to detail, and thrives on ensuring quality within processes, documentation, and data to achieve effective internal and external operations. This position requires someone to be organized and innovative, with strong communication skills to be able to deliver information and collaborate across teams. The individual will report to the Program Operations Manager.

HealthySteps is an evidence-based model that promotes nurturing parenting by integrating an early childhood development professional into the pediatric primary care team. Now in more than 300 sites across the country, HealthySteps partners with families to improve babies’ and toddlers’ healthy development and well-being – with a focus on addressing the persistent inequities that impact the life trajectories of too many children of color and children living in families with low incomes. The HealthySteps National Office (National Office) at ZERO TO THREE supports and oversees the growing network of sites as they implement, deliver, and sustain the model, to reach more than 1 million young children and families annually by 2032.


ESSENTIAL RESPONSIBILITIES

Resource Management & Quality Assurance

  • Support and contribute to systems to keep SharePoint site and resource databases organized and current
  • Contribute to, and where appropriate lead, refinements and development of internal resource management processes and SOPs
  • Collaborate with the Communications Team and, when applicable, National Office Subject Matter Experts to implement and project manage regular QA processes and updates for the HealthySteps library of external and internal resources (e.g., reports, guides, handouts, web content, marketing assets and collateral)
  • Keep core systems and processes led by Operations team current and updated (e.g., staff onboarding protocol)

Salesforce Site Database Quality Assurance

  • Support Product Manager and Program Operations Manager with development of standards, processes and timelines for data audits and routine inspections
  • Ensure network data and permissions align with established standards and processes
  • Monitor and inspect key processes, including those related to site onboarding, for identification and resolution
  • Document and report on quality assurance efforts, and maintain documentation for continuous quality improvement and to optimize efficiency
  • In collaboration with Product Manager, provide individual and small group support to other National Office staff to increase adherence to standards, processes, and timelines

Other

  • Contribute to a positive HealthySteps culture that is grounded in ZERO TO THREE’s core values, including through optional service on relevant committees where desired and/or selected.
  • Contribute to HealthySteps goals by supporting specific additional projects of interest, that are aligned with expertise and experience, as capacity allows and as confirmed by the Program Operations Manager.
  • Performs other duties as assigned to ensure the efficient and effective functioning of the department -or- project.

ESSENTIAL SKILLS & EXPERIENCE

  • Bachelor’s degree and minimum 3 years related experience in quality assurance within systems and processes for a major program, with increasing levels of responsibility over time
  • Relevant training and/or certifications in Quality Assurance preferred
  • Exceptional organizational skills, keen attention to accuracy and detail, and ability to manage multiple priorities/responsibilities effectively against timelines
  • Skilled in data reporting, manipulation, and analysis
  • Highly attuned interpersonal skills, including ability to facilitate collaboration and communicate effectively across workstyles
  • Positive team player attitude and customer service orientation
  • Strong work ethic, high level of energy, and desire to work in a fast-paced environment
  • Experience working collaboratively across sub-teams
  • Excellent writing and verbal communication skills
  • Experience with Salesforce, preferably able to generate reports within the software
  • Proficiency in using Microsoft Office suite, including Word, Excel, PowerPoint, Outlook, and Teams; ability to learn new tools and software as required to fulfill the position’s duties

COMPENSATION & BENEFITS

This position's salary is estimated to be mid $50,000s to low $70,000s depending on experience, geo-location, budget, and other comparable and similarly scoped internal positions. PHYSICAL REQUIREMENTS

While performing the responsibilities of the job, the employee is frequently required to use finger dexterity and sufficient hand dexterity to use a computer keyboard and be capable of reading a computer screen. Also, they may need to remain seated for extended periods, can perform repetitive motions, and reach for objects. An employee is frequently required to hold a writing instrument, communicate verbally, and hear well enough to detect nuances and receive detailed information. They may be required to grasp objects, push, and pull objects, bend, stand, walk, squat, or kneel. Vision abilities required by this job include close vision for data preparation or analysis, and expansive reading. May need to lift up to 30 pounds.

WORKING CONDITIONS

The work conditions described here are representative of those an employee encounters while performing this job. Depending on work location, the incumbent will typically work indoors in a heated and air-conditioned office, with a mixture of natural, incandescent, and fluorescent light with low to moderate noise levels or be subject to working conditions conducive to a home environment. When travel is expected, the incumbent will be exposed to outside environmental conditions during those times.
