The Role

North Star: We're looking for a Finance and Operations Manager to support the agency's day-to-day operations, reporting, and analysis.

What You’ll Do

  • Float Card Administration: Manage corporate credit card platform, reviewing transactions, generating reports, ensuring accurate coding, and timely submission into the accounting system.
  • Accounts Receivable Assistance: Support the A/R lead by pulling aging invoice reports, facilitating team communication, and ensuring timely invoice submission and delivery.
  • Accounts Payable Support: Assist the A/P lead by generating expense and spend reports, accurately coding, and approving vendor invoices.
  • Software Subscription Oversight: Track and manage all software licenses, ensuring compliance and cost efficiency.
  • Project Profitability Analysis: Generate project P&L reports, assist in reconciliation, and ensure accurate expense submission and coding.
  • Vendor Account Setup: Intake and process new vendor information, establishing accounts within the accounting system.
  • Insurance Policy Management: Collaborate with the insurance provider on annual renewals and ensure compliance with client contract insurance requirements.
  • Uber for Business Management: Set up and train employees on Uber for Business, generate project-related reports, and ensure accurate coding and submission for accounting.
  • Employee Onboarding Support: Help employees onboard by granting them the necessary financial tools and system access and providing training on their usage.
  • Financial Reporting & Analysis: Prepare and analyze financial reports, providing insights into operational performance and identifying areas for improvement.
  • Budget Tracking & Monitoring: Monitor budgets against actual spending, identify variances, and recommend corrective actions.
  • Operational Process Optimization: Identify and implement process improvements to enhance efficiency and effectiveness of financial and operational workflows.
  • Compliance & Audit Support: Ensure compliance with financial regulations and assist with internal and external audits.
  • Contract Administration Support: Assist in reviewing and administering vendor and client contracts, ensuring that financial terms are accurately reflected.

What We’re Looking For

  • Organizational Whiz: You’ve got a knack for keeping things organized and the desire to implement and/or execute agency-wide systems and processes to do so.
  • Clear Communicator: You know how to communicate well with different types of people—through email, phone calls, or in person.
  • Tech-Savvy: You’re comfortable with systems like Google Docs or Slack and have experience working in QuickBooks online.  
  • Time Management: You can build your schedule according to recurring priorities to ensure you’re always ahead of deadlines. 
  • Attention to Detail: You analyze our data to ensure it’s accurate, flagging when things feel off and identifying solutions to fix the issue. 

Bonus Points If You Have

  • CPA, PMP or other specialized finance or operational certifications 
  • Agency experience in a finance role 
  • An infectious positive attitude and a love for team culture!
