Intake Coordinator
Pyramid Healthcare — Newport News Detox & Residential Treatment Center

Location: Newport News, VA
Schedule:

  • 3 openings: Monday–Friday, 11:00 AM – 7:00 PM (some weekend availability preferred)
  • 2 openings (weekend shifts):
    • 7:00 AM – 3:00 PM
    • 3:00 PM – 11:00 PM
      Compensation: $18–$20 per hour

About Us

Pyramid Healthcare’s Newport News Detox and Residential Treatment Center is dedicated to providing comprehensive, evidence-based care for individuals on their journey to recovery from substance use disorders and co-occurring mental health conditions. Our medically supervised detox and structured residential programs support clients through every stage of recovery with individualized therapy, life-skills development, and holistic services.


Position Summary

The Intake Coordinator plays a key role on the admissions team, serving as the first point of contact for incoming clients. This position ensures a smooth, supportive, and compliant admissions and discharge process by coordinating documentation, assessments, communication, and insurance-related requirements.


Key Responsibilities

  • Facilitate and complete admission paperwork; verify documentation (e.g., ID, insurance) and coordinate with nursing staff
  • Conduct level-of-care assessments and complete required documentation (PCPC/ASAM)
  • Manage insurance processes, including precertification and utilization review communication
  • Assist clients with Medical Assistance applications and coordinate with external partners as needed
  • Communicate with probation/parole officers and employers with appropriate consent
  • Manage client photographs and documentation accuracy
  • Coordinate discharge planning, including scheduling outpatient appointments and support services
  • Conduct prescreens via phone and in person; enter data into the EHR and schedule assessments
  • Maintain confidentiality and ensure compliance with all regulatory and organizational standards
  • Complete required trainings and perform additional duties as assigned

Qualifications

  • High school diploma or equivalent required
  • Prior experience working with behavioral health or substance use populations preferred
  • Knowledge of insurance authorization processes and intake procedures is a plus
  • Strong organizational, communication, and multitasking skills
