Intake and Client Care Supervisor

Our Duncansville inpatient team is looking for an Intake and Client Care Supervisor to join our amazing staff. If after reading this believe this role is for you, please apply! 

Schedule: Tuesday - Saturday 2pm-10pm or 3pm-11pm

Rate: 17/hr 

Essential Duties and Responsibilities: 

  • Supervise Intake Coordinators and Administrative Assistants, including conducting monthly supervision meetings, providing coaching, and supporting staff development.  
  • Oversee the admission process to ensure all required documentation and admission procedures are completed accurately and efficiently.  
  • Facilitate admissions by completing and reviewing intake paperwork, verifying required documentation (e.g., identification, insurance information), and coordinating with nursing when clients are ready for admission.  
  • Assist with bed management coordination, including admissions, discharges, and bed assignments in collaboration with facility leadership.  
  • Ensure proper documentation and completion of client photos, labeling with client name and medical record number, and distributing appropriately.  
  • Participate in, facilitate, and train staff on required admission safety procedures including body searches, luggage searches, documentation completion, and management of confiscated or secured client belongings.  
  • Ensure all documentation related to admission searches and client belongings is completed accurately and in accordance with program policy.  
  • Respond to and assist in resolving client grievances or concerns related to admissions or personal belongings, ensuring grievances are addressed within established timeframes 
  • Provide coverage for Intake Coordinator and Administrative Assistant duties when staffing support is needed.  
  • Support coordination of admission activities including client intake processing, documentation verification, and communication with clinical and nursing teams.  
  • Maintain organization and cleanliness of the admissions area, welcome center, and intake workspaces.  
  • Collaborate with clinical, nursing, and operations staff to ensure smooth transitions for clients entering the program.  
  • Assist in onboarding and training of new intake and administrative staff members. 
  • Must exercise discretion and maintain confidentiality with regard to all company information 
  • Completion of all required trainings as designated by the company and accreditation/licensing entities. 
  • Other duties as assigned. 

Supervisory Responsibilities 

Responsible for day-to-day supervision of Intake Coordinators and Administrative Assistants including staff support, training, workflow oversight, and performance feedback. 

Required Qualifications 

Education, Licensure, & Experience 

  • High School Diploma or GED required 
  • Experience working in behavioral healthcare admissions, intake, or administrative operations preferred.  
  • Previous supervisory or team lead experience preferred. 
  • Experience coordinating admissions processes, client intake procedures, or healthcare front desk operations preferred.

  • Knowledge of behavioral health admissions processes and regulatory documentation requirements preferred.  
  • Ability to train and support staff in operational procedures and workflow processes.  
  • Ability to address client concerns and resolve issues in a professional and timely manner.
