What We Need:

This role will support the Publishing, Engineering and Technical Art Graduate Programs, based in our Novato, Dublin and Vancouver offices, which is helping us to future-proof our organization by bringing talent and diversity to the organization. You will be reporting to the Senior Manager, Engineering & Technical Art Grad Program, with a dotted reporting line to the Senior Manager, Publishing Grad Program, who are based in Dublin. This role will be based in Novato.
What You Will Do:
- Local support: On the ground support in Novato.
- Culture Activation:
○ Design and implement initiatives that build a cohesive community across our global sites. This involves more than just organizing; it’s about proactively identifying ways to keep the grad cohorts across; Novato, Dublin, and Vancouver, connected through shared experiences and innovative engagement ideas.
○ Generate innovative ideas for continuous organizational improvement and implement approved suggestions.
○ Build strong relationships with local HR, TA, Workplace and Operational teams amongst others. - End-to-End Event Coordination:
○ Take full ownership of the operational lifecycle for program events, including team-building offsites and technical training sessions. You will manage everything from venue logistics and scheduling to material preparation and post-event feedback collection. - Process Support & Optimization:
○ You will ensure that all stakeholders—from hiring managers to graduates—are following established processes, while also identifying "friction points" where you can suggest improvements to make the program more agile.
○ Frequent collection of feedback from graduates and stakeholders to ensure processes are efficient and optimized. - Execution of Operational Excellence:
○ Support the complex movement of graduates between rotations. Managing graduate rotation tracking.
○ Manage the Graduate Programs’ Onboarding training: engage with stakeholders, coordinate logistics, implement feedback loops and ensure the training runs
according to schedule.
○ Invoice management, including supplier set up, and Purchase Order management. ○ In partnership with the Graduate Program leads, build and define the annual operational calendar for the programs. - Program Communications & Reporting: ○ Draft key internal documents that keep the business informed, such as the Quarterly Business Report (QBR). You will gather data and qualitative updates to help tell the story of the program’s impact to the wider organization.
- Grad Performance Tracking: ○ Administer the graduate review process by coordinating feedback cycles across different platforms. You will be responsible for creating the metrics and reports that help program leads track whether graduates are meeting or exceeding expectations.
- Document Control: ○ Maintain a centralized, "source of truth" library for all program guides and documentation. You will ensure that onboarding manuals, rotation guides, and policy documents are always up-to-date and accessible to relevant stakeholders. ○ Perform other duties as assigned, including special projects and initiatives.

- 3 - 5 years experience working supporting graduate or other people programs.
- Experience in giving both positive and constructive feedback.
- Experience in working in high pressure situations and dealing with ambiguity.
- Employee experience focused.
- Have good time management skills, can juggle lots of tasks while still producing amazing results and work with multiple interruptions.
- Self-motivation to manage priorities and workflows and can typically complete projects on or ahead of schedule.
- Possess exceptional follow-through and a proven track record as a finisher.
- Attention to detail
- Thriving in ambiguous situations and being comfortable pivoting when needed.
- Problem-solving skills that often lead to innovative solutions.
- Networking, influencing, and stakeholder/relationship management with the ability to engage with different stakeholders across different locations.

- High emotional intelligence, empathy and self-awareness.
- MS Office & Google Workspace experience necessary and experience using Slack is an advantage.
- Experience working with confidential information, tricky situations, and dealing with challenging conversations.
- Up to 15% travel to attend other offices.

The pay range for this position in California at the start of employment is expected to be between $120,300 and $160,400 per year. However, base pay offered is based on market location, and may vary further depending on individualized factors for job candidates, such as job-related knowledge, skills, experience, and other objective business considerations. Subject to those same considerations, the total compensation package for this position may also include other elements, including a bonus and/or equity awards and eligibility to participate in our 401(K) plan and Employee Stock Purchase Program. Regular, full-time employees are also eligible for a range of benefits at the Company, including: medical, dental, vision, and basic life insurance coverage; 14 paid holidays per calendar year; paid vacation time per calendar year (ranging from 15 to 25 days) or eligibility to participate in the Company’s discretionary time off program; up to 10 paid sick days per calendar year; paid parental and compassionate leave; wellbeing programs for mental health and other wellness support; family planning support through Maven; commuter benefits; and reimbursements for fitness-related expenses.
