What We Need:
We are looking for an exceptional Executive Assistant to provide daily support for our SVP of Shared Development Studios (SDS), Michael Gilmartin and VP of Release Management, Katherine Sanford. You’ll have the exciting opportunity of interacting regularly with our executive team, internal and external studio heads, and business partners throughout the games and entertainment industry… all while improving the efficiency of those you support. We need a confident, proactive, and detail-oriented person who can see beyond the immediate when it comes to executing our leaders’ visions. Personality and approachability are also key in this critical role that has tons of impact.
Location: Las Vegas, NV (Onsite)
What You’ll Do:

Provide Executive support for SVP SDS and VP Release Management

May provide support for other members of the SDS leadership team, as needed
-
Manage and maintain calendars and schedule appointments, ensuring all parties are advised of and kept tabs on schedule changes and updates

Maintain executives’ and hotel offices for visiting leadership in a professional manner, ensuring all supplies are in order and offices are ready for any guests
-
Coordinate travel arrangements including but not limited to flights, car service and hotel accommodations; works closely with ProTravel to ensure timely response and accurate itineraries

Complete and processes expense reports through Concur

Coordinate meetings and department functions including but not limited to preparing Outlook calendar invites and Zoom calls, preparing and distributing agendas and other materials, reserving and preparing facilities, coordinating food/beverage service, and coordinating any vital technical support

Attend meetings/functions as needed or requested, taking detailed notes/minutes, and disseminating as appropriate

Develop and maintain strong working relationships with 2K SDS management team, other employees in multiple locations, and external business partners who regularly interact with company executives

Create presentations / agendas for SDS leadership as required

Create status reports/executive summaries for SDS leadership as needed

Demonstrates a high level of professionalism in dealing with confidential and sensitive issues

Review and respond to daily internal/external mail

Compose, type, and distribute professional correspondence and e-mails, using individual initiative and as needed

Conduct research as requested, compile reports

Perform other duties as assigned by manager

Supervise 2-3 Office Management staff in the Las Vegas office location, which includes:

Execute in the Vendor Onboarding Process to vet any vital department-related contracts

Act as a liaison between Executives and other VP’s/team members for office-related contracts
-
Coordinate shipping for departments, including any necessary ship-outs at game launch
-
Assist Administrative team members as needed

Assist with special projects as assigned

Who We Think Will Be A Great Fit:
A successful candidate for this role will be able to work independently and as part of a team with minimal instruction, be able to maintain the strictest level of confidentiality, and have an eagle eye when it comes to dates, times and details. The ability to spot inefficiencies in daily processes surrounding the executives you support will help ensure long-term success.

Associate's degree (A.A.) or equivalent, three to five years related experience, or equivalent combination of education and experience
-
1-2 years’ experience supervising office management or operations staff
-
Prior work experience as a senior level admin, supporting C-Level executives highly desired
-
Prior work experience in a production environment, such as video games, film or animation highly desired
-
Excellent verbal and written communication skills
-
Outgoing personality, with excellent communication skills
-
Highly Proficient on Microsoft Office Suite, specifically Outlook, Microsoft O365, Google Suite; experience with Slack and Zoom are preferred.

Acute attention to detail; strong spelling and grammar skills

Ability to translate concepts into polished presentations
