New Business Operations Manager

The New Business Operations Manager owns the operational side of our new business pipeline, running the system that tracks every outreach email, proposal deadline and first call, and making sure each one has an owner and is completed on time.

What you'll do

  • Own the new business process from first outreach through proposal submission, including the tracking system, templates and handoffs, and improve it so the team can handle more pitches without losing visibility.
  • Track all new business outreach by logging every email that goes out, including who sent it, who received it, when it was sent and whether there has been a reply, and make sure every follow-up happens.
  • Maintain a single up-to-date tracker of every proposal that shows what is due, when it is due and who is responsible for it, and assign owners where none exists.
  • Confirm that each proposal is submitted on time and received by the recipient, and resolve or escalate anything at risk of slipping.
  • Schedule initial vetting calls for executives by coordinating calendars on both sides, and brief the executives beforehand with the background they need.
  • Report to leadership each week on what went out, what is due, what is waiting on a response, and where capacity or deadlines are at risk.
  • Keep contact details, proposal versions and call notes organized so that anyone on the team can find them.

What we're looking for

  • 7 or more years in new business, business development operations, proposal management or senior executive support
  • A track record of building or running a pipeline tracking process that senior leaders relied on
  • Strong organization and follow-through, with the judgment to set priorities across competing deadlines without being asked
  • Confident, polished written communication with senior executives and prospective clients
  • Experience scheduling across multiple executive calendars
  • Comfortable with spreadsheets or a CRM for tracking, plus Outlook or Google Workspace
  • Discretion with confidential business information

Details

  • Hours: Full-time, temp-to-perm (60-day temporary period before conversion)
  • Location: Tampa, FL or Miami, FL – 3 days a week in office
  • Start date: Immediately

Florida Salary Range

$90,000 - $100,000 USD
