Temporary Events Coordinator

A24 is looking for a temporary Events Coordinator to join our Specialty Marketing team in our New York office until December 2025. This role will report into our Events Lead and provide administrative support for the Events and overall Specialty Marketing Team. 

This role is based in New York with a minimum requirement of 3-days a week in office. 

Responsibilities:

  • Provide administrative support for Events Lead including, but not limited to: organizing and updating the master events calendar, sending out calendar invites for all events, keeping meeting minutes, maintaining key event documents/trackers, events spreadsheets, calendars, master contact sheets, etc. 
  • Submit and track all print and poster requests for events, festivals, and special screenings.
  • Create and manage internal invoices, purchase orders, and billing with the Accounts Payables department for all events and regional screenings. 
  • Assist with managing event budgets.
  • Send and track screener links and DVDs as needed. 
  • Assist with researching, sourcing, and shipping gifts for filmmakers and talent.
  • Assist with tracking RSVP’s and guest lists for all events managed by our team. This ranges from small tastemaker screenings to large premieres. 
  • Staff events from start to finish. This may require additional hours of onsite event work in addition to your normal work day.
  • Assist with any on-the-ground event production needs leading up to and on the day of an event.
  • Research site locations, vendors, and services for events - both front-facing and internal.
  • Support the ideation and creation of creative assets for events. This includes, but is not limited to, invitations, tickets, step-and-repeats, on-screen images, and other related items. 
  • Book and manage filmmaker/talent meals during special screenings, premieres and festivals. 
  • Manage small turn-key events as needed.
  • Manage event vendors. 
  • Co-manage Specialty Marketing team interns.
  • Maintain and order supplies and supply storage for general events, Festivals, and Special Screenings 
  • Run errands as needed.
  • Assist with holiday gifting and mailouts for filmmakers and agencies.
  • Assist the regional festival team with ticket tracking and event planning.
  • Some travel may be required.

Qualifications

  • 2+ years of professional work experience in Events, Production, Hospitality, and/or Public Relations
  • Motivated self-starter skilled in multitasking, communication, time management, and strong organizational skills. 
  • Availability and ability to work evenings and weekends as required.
  • A passionate interest in film and television (industry experience is not a requirement for applying).
  • Comfortable with written and verbal communication via email, phone, Slack, Gchat, etc.
  • Experience with managing multiple projects, reports, and documents (Google, Apple, and Microsoft platforms)
  • Reliable, proactive, and intuitive.
  • Extreme attention to detail and a lateral thinker.
  • Personable, creative, social, and enthusiastic.
  • Humble, nimble, diligent, and resourceful with a can-do spirit.
  • Some experience in the hospitality/service industry is appreciated, but not mandatory.
  • Able to lift up to 20 pounds, as needed.

Our target hourly rate for this role is between $20 - $24 per hour. We do not use formal job titles internally and similarly named positions may have different compensation levels. Actual starting hourly rate within the range will depend on various considerations, including: work experience, skills, specializations, and training.
