Job Summary: We are seeking a proactive and highly organized Executive Assistant to support our senior management team. The ideal candidate will be experienced in handling a wide range of administrative and executive support tasks, possess strong organizational skills, and have the ability to work independently with little or no supervision. The Executive Assistant will serve as the primary point of contact for internal and external stakeholders on matters pertaining to the office of the executives.
Responsibilities:
- Provide administrative support to the executives, including managing calendars, scheduling meetings, and making travel arrangements.
- Coordinate and manage communication between executives and internal/external stakeholders, ensuring timely and accurate responses.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Maintain organizational systems and ensure efficient filing and documentation management.
- Conduct research, compile data, and prepare reports for presentation to executives.
- Assist in the preparation of meetings and events, including logistics, agendas, and materials.
- Handle confidential information with discretion and professionalism.
- Act as the point of contact for executives' inquiries and requests from team members.
Requirements:
- Proven experience as an executive assistant or similar administrative role supporting senior management.
- Excellent organizational and time management skills with the ability to prioritize tasks.
- Strong attention to detail and problem-solving skills.
- Proficient in Microsoft Office Suite and other office management tools.
- Exceptional communication skills, both written and verbal.
- Ability to handle multiple tasks simultaneously in a fast-paced environment.
- Bachelor’s degree preferred but not required.
- Discretion and confidentiality in handling sensitive information.
- EA who is always responsive/online if needed including weekends if needed
Preferred Qualifications:
- Experience in project management or event coordination.
- Knowledge of office management systems and procedures.
- Familiarity with basic accounting principles and practices.
Working Hours: 9AM to 5PM PST US HOURS, but expect weekends if needed since the COO will be working around the clock
