Pay Rate: $21.50 - $23.50
Location: Irwindale, CA

- Monday - Friday, 8AM - 5PM

Job Overview
Absolute International Security is seeking a highly organized and personable Recruiting Coordinator to provide day-to-day support to the Recruiting department. This role is responsible for managing interview logistics, keeping candidates informed and engaged, and ensuring our recruiters and hiring managers can keep the recruiting pipeline flowing smoothly and efficiently. This role serves as the primary point of contact for many of our candidates, so a genuine passion for creating a great candidate experience is essential. The ideal candidate is highly organized, self-motivated, and able to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Recruiting Duties
- Schedule and coordinate interviews across multiple calendars, interview panels, and hiring managers, including phone screens, virtual interviews, and on-site visits.
- Serve as a primary point of contact for candidates throughout the interview process, ensuring a timely, professional, and positive experience.
- Manage and maintain accurate candidate records and requisition data in the Applicant Tracking System (ATS).
- Partner closely with recruiters and hiring managers to understand role priorities and align on scheduling logistics.
- Coordinate candidate travel, expense reimbursements, and on-site interview logsitics, as needed.
- Draft and send offer letters, background check requests, and other candidate-facing correspondence.
- Track interview and hiring metrics, flagging bottlenecks or delays to the recruiting team.
- Support employer branding efforts, including career fairs, campus recruiting events, and candidate outreach.
- Continuously look for ways to improve scheduling processes and the overall candidate experience.
Onboarding Duties
- Assist new hires in the onboarding process including, but not limited to, taking employee photos, downloading company mobile phone applications, and providing initial login credentials.
- Collect and process new-hire documentation, including employee handbooks, tax forms, I-9 documents, and other employment related documents.
- Coordinate with IT, payroll, and logistics to arrange hardware, software access, employee accounts, uniforms, and welcome kits before day one.
- Schedule and facilitate orientation sessions, company culture overviews, and policy presentations.
- Serve as the main point of contact for new hire questions regarding policies, benefits, and payroll.
Administrative & Reception Duties
- Act as the front desk receptionist to be the first point of contact for visitors, applicants, and employees.
- Answer and route incoming phone calls professionally and in a timely manner.
- Greet and direct visitors, applicants, and employees in a courteous and professional manner.
- Assist with general office administrative tasks including filing, scanning, copying, and supply management.
- Perform other duties as assigned by Recruiting and HR leadership.
Minimum Qualifications
Education
- High school diploma or GED required.
- Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field preferred.
Experience
- Minimum 2 years of coordination, administrative, recruiting, HR, or customer-facing related experience required.
- Previous experience in security industry or high volume recruiting preferred.
- Experience with Greenhouse ATS and Paycom HRIS is a plus.

- Must be at least 18 years old
- Ability to pass a background check, drug screening, and additional screening requirements
- Excellent written & verbal communication and interpersonal skills
- Strong multi-tasking, task management, and attention to detail
- Possesses a professional and customer service oriented demeanor with emphasis on team collaboration and conflict resolution
- Ability to work in fast-paced environemnts and handle emergencies calmly under pressure.
