Training Administrator

Position Summary:
The Training Administrator is responsible for the coordination, implementation, and maintenance of training and continuing education (CE) activities through internal Learning Management Systems (LMS) such as the Accanto Learning Center and CE-Go. This role supports both live and self-paced educational programs, manages system enrollments, ensures compliance with accreditation requirements, and provides high-level administrative support to internal teams and external speakers.
Duties and Responsibilities:
Accanto Learning Center & CE-Go Administration
- Update course banners and promotional graphics in the Learning Center (using Canva or similar tools).
- Create and publish training courses (live and self-paced) in the Learning Center and CE-Go.
- Establish and maintain course content, including evaluations, surveys, and CE certificates.
- Enroll employees in courses manually and via automated onboarding processes.
- Troubleshoot login and access issues for learners.
- Serve as the primary point of contact for the Learning Center vendor and CE-Go support.
- Generate and distribute reports for audits, internal reviews, and administrative needs.
Continuing Education (CE) Program Management
- Build and administer CE courses in CE-Go, including speaker management and registration page setup.
- Create speaker submission forms and coordinate the collection of presentation materials.
- Ensure all CE programs meet accreditation requirements (APA, NBCC, etc.).
- Prepare and send pre-webinar communication, including Zoom links and PowerPoint requests.
- Host and support live CE sessions and conduct technical run-throughs with speakers.
- Convert live CE sessions into home study versions and manage content uploads.
Speaker & Event Coordination
- Coordinate speaker scheduling, including tech rehearsals and presentation logistics.
- Send pre- and post-event emails to speakers and attendees.
- Add events to speakers’ calendars and ensure timely communication of expectations.
- Update Canva banners, CE-Go course details, and internal calendars as events are rescheduled.
Marketing & Promotion
- Create flyers and promotional materials for CE events.
- Collaborate with internal teams to promote trainings via newsletters and other communication channels.
- Develop scripts and communication assets to support CE event engagement.
Compliance & Reporting
- Maintain accurate attendance and completion records for audit purposes.
- Complete yearly CE reporting for accrediting bodies (e.g., APA).
- Prepare documentation for NBCC’s three-year audit cycle.
- Log event details, including date, title, audience, and CE credit hours.
Catalog & Documentation Management
- Create and maintain an up-to-date training course catalog annually.
- Document and archive training sessions, recordings, and participant data.
- Assist with internal training meetings and respond to CE-related inquiries.
Education Qualifications:
- Associate’s or bachelor’s degree in education, Communications, Human Resources, or related field.
Professional Qualifications:
- 2+ years of experience in training administration, LMS management, or continuing education coordination.
- Proficiency with LMS platforms (e.g., CE-Go, Relias, Cornerstone, or similar).
- Strong administrative, organizational, and time management skills.
- Proficient in Microsoft Office Suite and Canva (or equivalent design tool).
- Familiarity with CE accreditation requirements (APA, NBCC, etc.), preferred.
- Experience working with Zoom and webinar hosting tools, preferred.
- Background in adult learning, instructional design, or educational technology, preferred.
Workplace Environment:
- Hybrid or remote work options available.
- Occasional evening or early availability for live CE events or technical run-throughs.
- Ability to work on a computer for extended periods of time.
- Ability to adjust to workflow pace that fluctuates.
