The Virtual Preparatory Academy of Florida is a K–12 tuition-free online public school serving students statewide. The High-Dosage Tutoring Scheduler supports the successful implementation of the school’s high-dosage tutoring program by coordinating student and tutor schedules, maintaining accurate tutoring rosters, and ensuring students are consistently scheduled to receive the appropriate frequency and duration of tutoring services.
This position works closely with school leadership, Academic Mentors, students, families, and staff to maintain an organized and efficient tutoring schedule and address scheduling or attendance barriers that may impact student participation.
Please note – while this is an online school position and all instruction occurs virtually, travel and face to face attendance will be required several times per year to support in person state testing and student events.

About the Opportunity
- Coordinate and maintain high-dosage tutoring schedules for participating students and Academic Mentors.
- Schedule students into appropriate tutoring groups based on identified academic needs, availability, grade level, subject area, and program requirements.
- Ensure students are scheduled to receive the required frequency and duration of high-dosage tutoring sessions.
- Maintain accurate and up-to-date student rosters, tutor assignments, schedules, and tutoring records.
- Coordinate tutor availability and student schedules to maximize participation and minimize scheduling conflicts.
- Monitor student attendance and participation in scheduled tutoring sessions and identify students who are missing or not consistently attending sessions.
- Follow up with students, families, tutors, and school staff as needed to address scheduling conflicts, missed sessions, or participation concerns.
- Make timely schedule adjustments when student needs, tutor availability, enrollment, or other circumstances change.
- Communicate tutoring schedules, schedule changes, and program expectations clearly with Academic Mentors, students, families, and appropriate school staff.
- Collaborate with school leadership and instructional staff to ensure tutoring assignments align with identified student needs and program priorities.
- Maintain organized documentation and assist with tracking tutoring participation, completed sessions, and other required program data.
- Support reporting and documentation requirements related to the high-dosage tutoring program.
- Maintain student confidentiality and follow school procedures for data privacy, communication, and professionalism.
- Participate in training and meetings related to the implementation and ongoing coordination of the high-dosage tutoring program.
About You
- High school diploma or equivalent required; additional education preferred.
- Teaching degree or certification is not required but highly encouraged.
- Experience in scheduling, administrative support, student services, education, tutoring programs, or a similar setting preferred.
- Strong organizational, scheduling, and time-management skills.
- Strong attention to detail and ability to maintain accurate records.
- Effective written and verbal communication skills.
- Ability to coordinate multiple schedules, priorities, and changes efficiently.
- Dependable, proactive, and able to follow through on scheduling and attendance concerns.
- Comfortable communicating with students, families, school staff, and Academic Mentors.
- Comfortable using technology, spreadsheets, scheduling tools, and virtual learning platforms.
- Ability to handle student information with professionalism and confidentiality.
