Accountant - Payroll Specialist (Accredited Labs)

We’re looking for a dedicated and driven Accounting Payroll Specialist to join our Finance team at Accredited Labs. As our Accounting Payroll Specialist, you will be responsible for owning and streamlining our payroll operations from end to end. 

You will be the go-to expert for everything payroll—handling bi-weekly runs, monthly commissions, final payouts, navigating state-specific tax requirements. You will also play a key part in managing hourly employee time tracking and partnering with HR to keep our payroll and HRIS systems running smoothly. Additionally, you'll play a vital role in month-end closing, account reconciliations, and ensuring compliance with accounting standards.

This role is 100% in-person at our Accredited Labs location to start with the flexibility to transition to a WFH schedule a few days a week after 6 months, based on performance.  

Standard business hours with flexibility around payroll deadlines and month-end processes. 

Key Responsibilities

Payroll Operations: 

  • Process bi-weekly payroll for hourly and salaried employees, ensuring accuracy and timeliness in a high-growth, fast-paced environment.
  • Administer monthly commission payouts, final pay calculations, off-cycle runs, and other special payroll transactions.
  • Maintain and update payroll records, including deductions, benefits, 401(k) elections and tax withholdings.  
  • Resolve payroll discrepancies and promptly respond to employee inquiries.  
  • Ensure compliance with federal, state, and local payroll laws and regulations. 
  • Track and validate hourly employee timesheets, ensuring timely and accurate input.
  • Monitor PTO requests and ensure they are appropriately entered and approved prior to payroll deadlines.
  • Follow up with managers and employees on time discrepancies, missed punches, and outstanding approvals.
  • Register for new state tax accounts as we expand into additional jurisdictions.
  • Update tax rates and configurations within the payroll system to ensure accurate withholding and reporting.
  • Partner closely with HR to ensure HRIS/payroll data alignment (new hires, terminations, LOA’s, changes in pay, etc.).
  • Help evaluate and improve payroll procedures to enhance compliance and efficiency. 

 Accounting & Finance Support:

  • Prepare and post payroll-related journal entries to the general ledger.
  • Reconcile payroll accounts, including wages payable, taxes payable, and other related balance sheet accounts.
  • Support month-end and year-end close processes by providing accurate payroll accruals and variance analyses.
  • Assist in preparing financial reports related to payroll, benefits, and compensation costs.
  • Collaborate with external auditors and provide necessary payroll and accounting documentation.
  • Continuously evaluate and improve payroll and accounting processes to drive efficiency and accuracy. 

 Basic Qualifications

  • BS/BA in Accounting
  • 3+ years of payroll experience, including multi-state payroll processing.
  • Strong knowledge of state and federal payroll laws, wage compliance, and tax filing requirements.
  • Proficiency with major payroll platforms (e.g., BambooHR, Paylocity, ADP, or similar).
  • Experience working with HRIS systems and time-tracking platforms.
  • Strong attention to detail, analytical skills, and ability to maintain confidentiality.
  • Excellent communication and organizational skills; able to work collaboratively and independently.
  • Excellent Microsoft Excel skills
  • Experience in a rapidly growing or multi-entity environment is a plus. 

 Nice to Have

  • Knowledge and Experience using BambooHR for payroll processing.
  • Experience with NetSuite accounting system
  • Experience with inter-company accounting
  • Proactive can-do attitude
