Position Description:
ACLH is a leading behavioral health service provided located in Erie, Crawford, and Warren/Forest Counties. We take great pride in providing professional and superior services to all consumers and families in a supportive, compassionate, and friendly manner. In this position, you will play an instrumental role in providing a welcoming environment as a part of our reception team. Your main responsibilities will be the coordination of, scheduling of, monitoring and overall keeper of our Outpatient Programs and Psychological services appointments in our Erie office. Hours of operation would be 8:30am to 5pm
Responsibilities:
- Responsible for all aspects of the scheduling processes for the respective Outpatient Programs and Psychological Services.
- Work as a part of an interdependent team; bringing a positive and helpful attitude to problem solving and multi-tasking.
- Schedule, cancel and confirm client appointments.
- Manage all aspects of Outpatient Therapist(s) and Psychologists’ schedules, as well as communicate changes.
- Contact families that no-show regarding reason for no-show and confirm continuation of therapy.
- Receive and process all scheduling information via phone, fax and/or e-mail in a timely manner paying special attention to HIPAA privacy standards.
- Maintain strong customer service focus in all interactions with internal and external contacts.
- Perform additional outreach duties to fill clinicians’ schedules by maintaining client caseloads for each clinician to quickly back fill open slots.

- Assume clerical responsibilities, including answering the phone, sending letters to families, scanning, and uploading records to client charts, registering incoming clients and processing payments as needed.
- Serve as back up receptionist and operations assistant as needed and recommended by the supervisor.
Requirements:
- Minimum high school diploma or equivalent.
- Must have (1) one year of experience in a professional office setting.
- Must have excellent verbal and written communication, along with superior organizational skills, ability to multitask and remain focused despite frequent interruptions.
- Working knowledge of electronic medical records (EMR).
- Client scheduling within an EMR system.
- Experience in a psychiatric or medical clinic preferred.
