Administrative Assistant

The ACLU of Northern California (ACLU NorCal) seeks an Administrative Assistant to join our San Francisco office. The Assistant performs a variety of administrative and support functions, primarily for the operations, facilities, and IT (information technology) teams, to ensure smooth office operations.
This position is fully on-site and represented by IFPTE Local 20.
What You Will Do
This position is expected to work in person in the San Francisco office five days per week, except for occasional offsite meetings as assigned. The Administrative Assistant should be a collaborative member of the administrative team, working closely with colleagues across the organization and especially in finance, operations, and information technology (IT).
General Office Administrative Support
- Serve as the receptionist, answering phones, greeting visitors and staff, and overseeing the lobby and front entry area for safety concerns or cleanliness issues.
- Provide support and set-up/clean-up for onsite and offsite meetings, including technology and audio/visual, preparing printed materials and other supplies, and taking notes.
IT Support
- Set up standard desktop workstations, including but not limited to monitors, docking stations, and standard peripherals.
- Assist staff with troubleshooting computers/individual workstations and conference room AV equipment with guidance from other members of the team and the organization’s IT managed services provider.
- Track IT equipment and, under direction from colleagues, prepare laptops for new users.
Operations and Facilities Support
- Process new and updated vendor contracts.
- Track and process payments to vendors.
- Help keep office supplies and shared spaces clean and tidy.
- Serve as a back-up for certain basic janitorial tasks, such as taking out common area garbage, bringing bins to and from the curb for pickup, wiping down surfaces in common areas such as conference rooms, and making coffee.

What You Will Bring
- A minimum of 1-year experience in an administrative support role. Experience coordinating meetings, answering phones, and engaging with customers or vendors is desirable.
- Ability to multi-task, prioritize, stay organized, and complete work under deadlines, even when there are distractions.
- Proficiency Microsoft Office, including Word, Excel, and Outlook.
- Basic knowledge of computer hardware, accessories (like cables), and peripherals.
- Spanish fluency preferred.

- The base salary for this position is $34.14 - $40.78 per hour with the final amount depending on experience, skills, and qualifications.
