Position Overview
As the Project Coordinator at Acme | Lock & Door, you'll be the traffic director behind every job — directing technician schedules, balancing shifting priorities, and keeping customers, technicians, and internal stakeholders aligned as work moves through the pipeline. This is a high-visibility, fast-moving role at the center of how work gets done.
No two days look the same. You'll juggle competing priorities, make quick and rational decisions about resourcing, and have the communication skills to deliver both good news and difficult updates with professionalism and care. With strong performance, this role offers a genuine runway into sales, account management, business development, operations management, or project management.
Key Responsibilities
The Project Coordinator will drive operational excellence and customer satisfaction by executing across the following areas:
- Technician scheduling & capacity management: Coordinate day-to-day scheduling for all Projects and General Service work, including fabrication and onsite job scheduling, and redirect technicians between jobs as priorities shift.
- Project initiation & tracking: Facilitate the sold-job process from kickoff, maintaining an accurate internal tracking board so stakeholders stay informed on progress and milestones.
- Customer communication: Proactively communicate schedule changes, timelines, and project status to customers and internal teams, upholding satisfaction and expectations even amid shifting priorities.
- Stakeholder & priority management: Balance competing priorities across technicians, technician managers, customers, integrators, and sales engineers, resolving day-to-day capacity and resourcing conflicts.
- Project ownership: Check material and technician availability, keep work moving, and take ownership of select projects to reduce workload for sales engineers and colleagues.
- Process improvement: Identify and champion opportunities to improve project management practices and day-to-day installation operations.
- Project closeout & QA: Close out completed projects within established workflows, and partner with the inventory and project teams to QA job bins prior to work being performed.
Qualifications
- 2-3+ years of experience in project coordination, scheduling, dispatch, or a similar coordination-heavy role.
- Proven ability to balance competing priorities across multiple stakeholders in a dynamic, non-routine environment.
- Strong written and verbal communication skills, including comfort navigating difficult conversations.
- Rational, efficient problem-solver with a clear understanding of how the role's decisions impact revenue and the business.
- Demonstrated ability to build relationships across different parts of an organization.
- Humility, curiosity, and a genuine interest in growth and development.
- Proficiency in Google Suite preferred.
- Experience in access control, HVAC, plumbing, electrical, or the doors industry is a plus, as is background in construction management, manufacturing scheduling, or logistics/dispatch.
Core Competencies
- Dynamic prioritization: Thrives amid frequent changes, shifting schedules, and competing demands — no two days are the same.
- Clear, confident communication: Delivers both routine updates and difficult conversations with professionalism, to customers and technicians alike.
- Business-minded problem solving: Understands how scheduling and resourcing decisions affect revenue and the broader business.
- Respect for the trades: Genuinely values technicians and the skilled work they do, and partners with them rather than around them.
- Cross-functional relationship building: Builds trust and strong working relationships across technicians, managers, sales engineers, and leadership.
- Ownership mindset: Takes on ambiguous or shifting work without needing it to be perfectly defined first.
Compensation and Timing
Acme | Lock & Door offers a base salary for this role of $63,000–$66,000 annually, commensurate with experience. This role also includes a comprehensive benefits package including healthcare, 401(k) match, and flexible time off. We are looking to fill this role as a near-term priority to support the team's continued growth.
