The Opportunity

The Operations Coordinator supports day-to-day business operations of the Enterprise Technology Group by ensuring processes run efficiently, resources are properly allocated, and communication flows smoothly across departments. This role serves as a key point of coordination for operational activities, helping teams meet deadlines, improve workflows, and deliver high-quality service. 

 

What you'll do:

Operations Management

  • Operational Support: Assist in planning, executing, and monitoring daily operational activities to ensure business continuity. 
  • Process Coordination: Maintain and improve operational processes, documentation, and SOPs. 
  • Data & Reporting: Track operational metrics, prepare reports, and provide insights to support decision-making. 
  • Cross-Functional Communication: Serve as a liaison between departments to ensure alignment and prompt resolution of operational issues. 
  • Vendor & Client Coordination: Communicate with external partners, vendors, and clients to support service delivery. 
  • Project Assistance: Support project planning, execution, and monitoring, ensuring tasks are completed on time. 
  • Compliance & Quality Control: Help ensure compliance with company policies, safety guidelines, and quality standards. 

 

Administrative Support

  • Oversee execution of events including regular Town Halls, weekly or monthly recurring meetings. 
  • Provide general administrative and professional support to executive leaders. 
  • Prepare and organize the completion of company documents such as reports and presentations. 

 

Office Management:

  • Manage day-to-day office operations, current expectations include 4 days in-office 
  • Virtual and in-person meeting coordination and event management 
  • Manage office vendors, order, receive and organize office supplies 
  • Manage reception of all visitors and provide a high level of guest services 
  • Liaison with corporate IT, assist in maintenance of local hardware and A/V systems 

 

Who you are:

Required Skills:

  • Attention to detail: Exercise extreme attention to accuracy, organization, and productivity. Ability to identify and correct errors, spot and improve weaknesses. 
  • Manage a high volume of work with efficiency: An expert at multi-tasking. Able to juggle competing demands and prioritize without sacrificing quality. 
  • Entrepreneurial and resourceful: Consistently overcome challenges and leverage resources to creatively solve problems. Independently capable of solving problems, corralling resources, and delivering results in challenging situations. 
  • Highly effective communicator: Be an active listener. Distill complex concepts into concise and clear communication with maximum impact. 
  • Proficient in various office software (Microsoft Office, various project management tools) and must be comfortable with learning new software tools 

 

Additional Qualifications:

  • Bachelor’s degree in business administration, operations management, or related field (or equivalent experience). 
  • Preferred 3+ years’ experience in an operations, administrative, or coordination role. 
  • Strong analytical, problem-solving, and decision-making abilities. 
  • Must exhibit professionalism and an ability to interact with executive leaders 
  • High degree of tact, diplomacy and discretion required 
  • Familiarity with workflow systems, CRMs, or project management platforms (e.g., Asana, Trello, Monday.com). 
  • Knowledge of basic reporting and data analysis. 

 

Candidates should be comfortable with an on-site presence to support collaboration, team leadership, and cross-functional partnership.
