About the Job:
We are seeking a proactive and highly organized Document Control Administrator to join our team in Saudi Arabia. This individual will be responsible for maintaining project and organizational documentation in accordance with company policies and regulatory requirements. The role is pivotal in ensuring document integrity, supporting efficient project workflows, and facilitating communication across multidisciplinary teams. The ideal candidate will have experience with document management systems, possess strong attention to detail, and be capable of handling sensitive and confidential information with discretion.
What You’ll Do:
As a Document Control Administrator, you will be responsible for managing the receipt, registration, tracking, and distribution of internal and project-related documentation, ensuring all documents are accurately logged and systematically filed both digitally and physically. You will enforce compliance with company standards for formatting, version control, and retention, while also coordinating document revisions, approvals, and change control processes. Your role will involve liaising with internal teams, clients, and vendors to meet documentation needs and providing training or support to staff on document control tools and protocols as needed. You will be expected to monitor document workflows, keep engineers and stakeholders informed of document statuses, and prepare reports or audits related to compliance and documentation status. Additionally, you will oversee proper archiving and disposal of outdated or superseded documents in accordance with retention policies, while ensuring the secure handling of sensitive and confidential information throughout all document control activities.
What’s Required:
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
- Minimum 2 years of experience in document control, records management, or administrative support.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
- Experience using document control tools such as Aconex, SharePoint, Procore, or similar.
- Strong attention to detail and organizational skills.
- Knowledge of document transmittal procedures, numbering systems, and naming conventions.
- Understanding of quality standards (e.g., ISO 9001) is an advantage.
- Ability to manage multiple tasks and meet deadlines under pressure.
- Fluent in English (spoken and written); Arabic language skills are a plus.
- Currently residing in the Kingdom of Saudi Arabia.
- Flexibility to support teams across different locations or time zones.
What’s Preferred:
- Experience working on large-scale industrial, infrastructure, or construction projects (Oil & Gas, Power, Transport).
- Familiarity with cloud-based collaboration tools such as Microsoft Teams and OneDrive.
- Experience supporting engineering teams and managing controlled submissions of project deliverables.

- Involves filing and handling physical records occasionally.
- May involve secure handling of confidential or proprietary information.
