Adapture Renewables, Inc. is an expert in developing, financing, engineering, building, and operating utility-scale photovoltaic systems and battery energy storage systems. Drawing upon an extensive knowledge base, we realize projects with speed, flexibility, and high quality. Our team is looking for an Office Manager to support our team and manage the daily operations of our Oakland, California office. This role is based in our Oakland office; the role requires two to three days per week onsite, flexing to the needs of the team and office. Adapture Renewables, Inc. is owned by KIRKBI Climate – the private holding and investment company of the Kirk Kristiansen family founded to build a sustainable future for the LEGO® brand through generations.

 

Overview

 

The Office Manager is a trusted team member and the owner of the Oakland office experience. This role will manage the office’s facilities, vendors, events, and administrative operations, while also providing some high-level executive support to the. It is a standalone role with no direct reports.

 

Core Responsibilities

 

  • Serves as a professional point of contact for internal and external executive stakeholders, exercising sound judgment on prioritization and access to leadership.
  • Owns the overall organization, cleanliness, safety, and professional appearance of the Oakland office.
  • Serves as the primary liaison with building management and manages relationships with external vendors and service providers (janitorial, catering, supplies, and equipment), including sourcing, negotiating, and tracking service agreements.
  • Manages office supplies, equipment, and furniture, and owns the office operating budget and related expenses.
  • Oversees front-of-house operations, welcoming visitors in a professional manner and managing incoming and outgoing mail and packages.
  • Plans and executes company events and employee-experience initiatives, including team-building activities, holiday parties, company meals, and celebrations.
  • Coordinates leadership and all-hands meetings end to end, including scheduling, agendas, materials, room setup, and follow-up on action items.
  • Supports new-hire onsite logistics and office onboarding, and develops, documents, and improves office policies and procedures.
  • Provides executive administrative support through complex calendar management, travel coordination, expense reporting, and preparation of confidential leadership and board materials.
  • May occasionally need to lift items weighing up to 25 lbs.
  • Working onsite in the Oakland office two to three days per week is a required, essential duty of the position.

 

Qualifications and Experience

 

  • Bachelor’s degree preferred, or an equivalent combination of education and relevant work experience.
  • 3–5 years of experience supporting executives, ideally in a fast-paced corporate environment, including office management responsibility.
  • Proven ability to manage complex calendars, travel, and competing executive priorities with minimal direction.
  • Experience managing vendors, facilities, and an office operating budget.
  • Advanced proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, and Teams)
  • Exceptional organization and attention to detail, with the ability to prioritize and meet deadlines under pressure.
  • Sound judgment, professionalism, and discretion when handling confidential and sensitive information.
  • Excellent written and verbal communication and interpersonal skills.
