The Role
We're looking for a highly organized and proactive Travel & Expense (T&E) Specialist to join our team. In this critical role, you'll be the primary point of contact for all company travel and expense-related matters, ensuring seamless operations and optimal cost efficiency. You'll have the opportunity to shape our travel program, leveraging your expertise to recommend and implement best practices.
Addepar takes a market-based approach to pay. A successful candidate’s starting pay will be determined based on the role, job-related skills, experience, qualifications, work location, and market conditions. The range displayed on each job posting reflects the minimum and maximum target base salary for roles in Colorado, California, and New York.
The current range for this role is $85,000 - $133,000 (base salary) + bonus + equity + benefits.

What You’ll Do
- T&E Program Ownership: Own, manage, and continuously improve our global travel and expense program. This includes developing, updating, and enforcing our travel policy to align with company goals and industry best practices
- System Management: Be the subject matter expert for our travel management platform (currently Navan, but open to your recommendations for alternative solutions). You'll be responsible for configuration, user support, training, and optimizing the tool's capabilities
- Inquiry Management: Serve as the main point of contact for all employee travel and expense inquiries, providing timely and accurate support and guidance
- Vendor Relationships & Negotiations: Manage relationships with travel vendors, including airlines, hotels, and car rental agencies. You'll also be responsible for negotiating favorable rates and contracts for company travel and events
- Event Planning Support: Provide comprehensive support for company onsites, internal events, and offsites. This includes identifying and vetting venues, negotiating contracts, coordinating logistics, and ensuring all necessary internal approvals are obtained
- Reporting & Analysis: Generate and analyze T&E data to identify trends, cost-saving opportunities, and areas for improvement. Present findings and recommendations to leadership
- Compliance: Ensure all travel and expense activities comply with relevant regulations, tax requirements, and internal policies
- Training & Education: Develop and deliver training sessions for employees on travel policy, expense reporting procedures, and travel tool usage
Who You Are
- 4+ years of experience managing corporate travel and expense programs in an individual contributor capacity
- Proven expertise with travel management platforms; experience with Navan is highly preferred, but strong proficiency with other similar systems (e.g., Concur, Egencia) is also valuable
- In-depth knowledge of corporate travel best practices, including policy development and enforcement
- Strong understanding of expense management processes and systems
- Demonstrated experience in vendor negotiation and relationship management
- Excellent communication and interpersonal skills, with the ability to effectively support employees at all levels
- Highly organized with exceptional attention to detail and the ability to manage multiple priorities simultaneously
- Analytical mindset with the ability to interpret data and make data-driven recommendations
- Proficiency in Microsoft Office Suite, especially Excel
- Proactive and resourceful with a problem-solving attitude
