Executive Assistant - SVP, Marketing

In this role, you will act as a strategic partner to the SVP, Marketing, and the broader marketing team by managing executive-level support, budget tracking, travel scheduling, and team operations.
The Marketing Executive Assistant will report to the SVP, Marketing and will be a proactive, highly organized force multiplier—anticipating needs, optimizing workflows, and ensuring seamless execution of daily tasks and marketing initiatives.
The salary range for this role is $74,000 - $90,000.
Responsibilities:
- Manage complex calendars for the SVP, ensuring meeting prioritization aligns with strategic objectives.
- Draft weekly meeting agendas, prepare meeting materials including PPTs, and capture action items to keep the team aligned.
- Serve as gatekeeper and liaison to optimize the SVP’s time and facilitate effective cross-functional collaboration.
- Manage email inbox for SVP, ensuring important emails are flagged and prioritized.
- Package and disseminate daily / weekly reports that are most important for marketing team.
- Plan and book travel for the SVP and marketing team as needed, including detailed itineraries and expense reconciliation.
- Coordinate logistics ASI Shows and team offsites.
- Track marketing budget allocations, flag variances, and support budget-related documentation and reporting.
- Schedule vendor meetings, track contract timelines, and assist in the procurement process for marketing tools and services.
- Maintain project plans and timelines for go-to-market initiatives, product launches, and key campaigns.
- Track deadlines and deliverables for marketing campaigns and ensure team accountability to hit milestones.
- Support light data analysis (e.g., campaign ROI, lead generation) to inform marketing decisions.
- Draft internal updates, recognition messages, and performance highlights for the marketing team.
- Assist in coordinating onboarding, training, and performance review logistics.
- Own the agenda and guest speaker lineup for weekly Marketing Leadership Team calls and monthly All Hands Calls.
- Support team-building initiatives and internal culture efforts.
Qualifications:
- 5+ years supporting C-Suite or SVP-level executives, ideally in marketing, media, or client-facing environments.
- Strong organizational and multitasking skills with a proactive, anticipatory mindset.
- Deep experience with Microsoft Office Suite (Outlook, Excel, PowerPoint), Teams, and project management tools like Jira.
- Experience managing budgets, tracking marketing spend and liaising with vendors.
- Excellent written and verbal communication skills.
- Discretion and professionalism in handling confidential information.
- Experience with CRM systems (e.g., Microsoft Dynamics) and marketing automation platforms (HubSpot).
- Comfort with light data analysis to support marketing KPIs.
