
Collections Administrator

ASI currently has a hybrid work model. This position requires in person attendance at our office on Tuesdays and Wednesdays.
ASI is seeking a Collections Administrator to post receipts, process billing adjustments and cancellations, and support key Credit & Collections and Accounting functions.
Reporting to the Sr. Manager, Credit & Collections, the Collections Administrator handles a variety of transactional, reporting, and month‑end responsibilities and provides essential support to internal teams.
The salary range for this position is $55,000 - $60,000.
Responsibilities:
- Processing and applying cash receipts in Personify to ensure accurate posting to customer accounts.
- Posting Lockbox, ACH, and wire payments for ASI, ASI Show, and PPM.
- Monitoring central payment inboxes and handling payments, cancellations, and billing adjustments in Personify and D365.
- Managing write‑off recoveries in Personify/D365, including reversals and required adjustments in accordance with company policy.
- Preparing and distributing non‑payment lock reports to ESP.
- Reviewing and processing cancellations tied to scheduled delists in Personify/D365.
- Canceling accounts and orders for non‑payment and maintaining clear documentation of actions taken.
- Processing write‑offs during month‑end close following approved procedures and supporting documentation.
- Preparing invoices for the Collections team, ensuring accurate formatting and complete PDF documentation.
- Canceling orders and terminating accounts as needed, ensuring all systems and records remain up‑to‑date.
- Preparing invoice files for email distribution through Pitney Bowes.
- Compiling and delivering write‑off files for submission to third‑party collection agencies.
- Generating, reconciling, and analyzing management reports as needed.
- Assisting with additional accounting and administrative tasks as assigned.
Qualifications:
- High School Diploma or GED required.
- Bachelor’s degree preferred or equivalent experience.
- Prior B2B billing or collections experience preferred.
- Proficiency in Microsoft Office suite, with strong skills in Excel.
- MS Dynamics (D365) experience a plus.
