THE ROLE
We are looking for an experienced, highly organized and collaborative Executive Assistant to support the Chief Marketing Officer (CMO), in our rapidly-evolving remote organization. The key charter for this role will be to support the CMO and wider Marketing team from an administrative and thought partner perspective, in all facets of the Marketing function. The Executive Assistant will provide daily administrative support including project planning, presentation creation, flow chart mapping, process/guideline development, calendar maintenance, and will support other projects as necessary to provide strong business results and achieve shared organizational goals.
This position requires demonstrated poise, tact and diplomacy while working with multiple, complex tasks across geographies, time zones, and cultures. The ideal candidate will have exceptional communication, organizational, and collaborative skills. We're looking for someone who can successfully navigate through a high-volume of critical (and often, shifting) needs, while not skipping a beat.
WHAT YOU’LL DO
- High level of calendar management, presentation preparation, meeting arrangements for events, document preparation and minimal personal accommodations
- Create all international and domestic travel arrangements, including flights and lodging
- Operate as point person for calendar scheduling, managing conflicts and providing the CMO clear direction around core dates for all meetings and events
- Organize team meetings, events, and birthday/anniversary celebrations
- Assist with planning special company and functional events, which involve extensive coordination
- Plan and support meetings onsite and offsite, including arranging all conference rooms, site details, catering, room setup and managing the agenda.
- Maintain the overall function of the CMO's office by serving as the gatekeeper for all Executive needs.
- Develop positive relationships and facilitate effective communication and collaboration across global internal teams, external partners, and stakeholders, serving as a central point of contact.
- Create, maintain, and update reports to support the executive's decision-making process
- Prepare presentations and other documents for the CMO, and wider Marketing team, that may be distributed to various internal and external stakeholders
- Anticipate, prepare, revise, and send correspondence on behalf of the CMO and Marketing team
- Serve as the culture champion for the Marketing team and keep the department effectively sharing information, collaborating, and maintaining a high level of engagement
- Participate in the broader EA network and represents the Marketing team in a positive way by contributing to a team environment and collaborating with fellow EAs
- Maintain an extremely high level of confidentiality pertaining to all company executives
- Lead with the highest integrity and confidence with all policies and practices and ensure confidentiality of information.
- Support in special projects as needed for the Marketing, and/or wider organization
WHAT WE'RE LOOKING FOR
- 5+ years in an executive assistant role, and/or work experience in Marketing, preferably within a high growth startup
- Proven track record of supporting busy executives well
- Passion to learn the Marketing function inside-out and be part of building out the Marketing function at AG1
- Demonstrated business professionalism, respect for confidentiality, and appropriate handling of sensitive information
- The ability to thrive in a fast-paced environment with a consistent “can-do” attitude
- Demonstrated aptitude to prioritize tasks based on comparative importance and urgency
- Strong critical thinking skills - you can identify opportunities, anticipate challenges and gaps, and contingency plan accordingly
- Solution-oriented, loves taking on challenges, and can work successfully against shifting priorities and can manage ambiguity well
- Strong attention to detail and a proven ability in managing time and tasks associated with a fast-paced organization
- Strong interpersonal, written communication, and organizational skills.
- Demonstrated experience and ability in forming relationships with and working with multiple stakeholders, both internal and external, in a remote-first or remote-only environment that is multiple geography and multiple time zones
- Ability to work independently and take ownership for outcomes while prioritizing and juggling multiple projects
- Strong adaptability, flexibility and resourcefulness
- Prior experience with PowerPoint, Excel, Google docs, Google Drive, Airtable, and project management tools such as Asana

AG1 is dedicated to providing equitable and competitive compensation & benefits packages. For this particular role, the base salary range is $70,000 - $95,000 and will ultimately be decided at the offer stage, based on an individual candidate’s level of skills and experience aligned with the needs of this role. Base salary is one component of total compensation for this position. We provide a competitive mix of base salary, performance bonus, and stock option allocation for eligible roles.
