Why Aircall, Why Now

Help turn a trusted telco brand into a recognizable AI voice product, one event at a time. Rare opportunity, big impact: a startup mindset on top of an established, strong foundation. Aircall is a trusted cloud-based phone solution, with over a decade of global reach across tens of thousands of customers. Over the last year, we've built on that foundation and developed an incredible agentic offering, Voice Agents and Messaging Agents, that helps customers accelerate their AI strategy with an end-to-end, omni-channel voice solution. As we move away from inbound paid search, events are one of the main ways we build pipeline and move the brand forward across the US and Canada. This role makes those events happen.

About the Role

Aircall is looking for an experienced Event Coordinator to join our Field Marketing team and run the planning, logistics, and execution behind our events across the US and Canada.

You will be the person who makes events happen: from executive dinners and roadshows to partner events and larger flagship moments. You will work alongside Field Marketing, Sales, Account Management, and Partnerships counterparts, as well as Performance Marketing, Creative, and Content, so that every event ties to pipeline and brand goals.

We are looking for someone organized, hands-on, and calm under pressure, who takes pride in events that run smoothly and deliver results.
This role will be hybrid from either our New York or San Franscisco office.

What You'll Do

  • Plan and run events end to end: coordinate executive dinners, roadshows, partner events, customer events, and larger flagship moments, from first brief to post-event wrap-up.
  • Own the logistics: manage venues, catering, AV, travel, shipping, signage, and swag, and build run-of-show documents and checklists for every event.
  • Manage vendors and venues: source, negotiate with, and manage agencies and vendors, and hold them to budget and quality.
  • Track the budget: monitor spend against each event budget, manage invoices and POs, and flag overruns early.
  • Drive attendance: manage invitations, registration, and guest lists with Sales, Account Management, and Partnerships so the right accounts are in the room.
  • Be on site: run events on the ground, including some travel across the US and Canada.
  • Close the loop: capture attendance and lead data in Salesforce and our marketing automation platform, support timely follow-up with Sales, and report on event results.
  • Work with Creative and Content: brief event assets, signage, and collateral, and keep event messaging consistent with the brand.
  • Build the playbook: document processes, templates, and lessons learned so events get easier to run and repeat.
  • Support customer story and partner programs: help with events that showcase customers and partners.

What We're Looking For

  • 3 to 5+ years in event coordination, event marketing, or event production, ideally in B2B SaaS or technology.
  • A track record of running events of different sizes, from small executive dinners to large conferences or trade shows.
  • Strong vendor and venue management skills, including negotiating quotes and managing contracts.
  • Comfort tracking budgets, invoices, and POs against event plans.
  • Excellent organization and attention to detail, with the ability to manage several events at once.
  • Clear, confident communication with Sales, Account Management, partners, and external vendors.
  • Experience with Salesforce and a marketing automation platform such as HubSpot or Marketo. Event platforms such as Cvent, Eventbrite, or Splash are a plus.
  • Calm and resourceful on site, with a bias for solving problems quickly.
  • Willingness to travel for events (roughly 20-30%, to be confirmed).
  • A plus: experience with events in Canada, or a background in AI, voice, CCaaS, or telco.

Base salary range:

$90,000 - $110,000 USD
