A Snapshot
As the Building Services Manager (BSM) reporting to the Operations Director (OD) based in Osaka, you will work closely with the rest of the Operations team, making your mark in a number of ways:
- Lead all aspects of building operations and soft services, including cleaning, gardening, and grounds maintenance
- Work closely with technical and facilities teams on all property related matters.
Please note, this role will be based in our data centre in central Osaka.
Your Day to Day
- Support the Operations Director in the management of physical security services at the property, including Landlord (AirTrunk) and customer areas
- Review existing operation policies and procedures in compliance with internal guidelines, all applicable laws, regulations, standards and best industry practice
- Handle emergency situations, supervise and ensure accurate execution of emergency response procedures, including at a user level or on security IT systems
- Coordinate security clearance requirements for core facility staff
- Run all soft services at the facility, such as cleaning, waste, landscaping, pest control, hydraulics, maintenance repairs, and any other front of house facilities, lifts, gates, roller shutters etc.
- Establish and maintain agreements for services listed above, including setting and monitoring critical metrics
- Conduct regular property inspections to ensure overall cleanliness and upkeep of good property operations
- Responsible for AirTrunk and customer’s facilities or access requests regarding loading dock, office, or storage areas
- Handle complaints and inquiries, and maintain good relationships with customers
- Coordinate with other departments/teams for R&M requests, projects, and EH&S matters
- Ensure change management processes are strictly adhered to
- Ensure compliance with site-held accreditations, including, but not limited to, ISMS, SOC2, PCI
- Gather quotes and issue of work orders
Requirements
- 3+ years of experience in facilities/property/building operations, or front-of-house services
- Proficiency in English and Japanese is a must (reading, writing, and speaking)
- Opex and/or Capex budget management experience
- Experience supervising, mentoring, and training junior staff
- Experience developing or implementing processes
- Familiarity in working with Customer Portals, and at the user level on Security networks (ex-accessing CCTV archive data).
- Effective key partner management experience
- Strong customer-centric approach, and ability to drive front-line staff attitude change
- Ability to deliver effective presentations
- Familiar with local regulations and standards
- General knowledge in repair & maintenance and health and safety.
- Able to think out of the box and challenge status quo
- Experience in environmental and sustainability management such as UL2799 is a plus
- Incredibly flexible and forward-thinking and energized by change
