As a Contract Coordinator, you’ll play a key role in supporting projects across the company, helping ensure contracts are accurate, compliant, and moving forward. You’ll gain hands-on experience, learn how to assess risk, and develop skills that can grow long-term.
What You’ll Do
- Draft, review, and edit contracts across AKS service lines, building from supported reviews to independent first-pass analysis.
- Maintain and organize contract records, tracking key dates, terms, and deliverables to keep projects on track.
- Order, verify, and track Certificates of Insurance (COIs), ensuring compliance with contract requirements.
- Manage client and vendor portal submissions, ensuring accurate and timely document uploads.
- Support project onboarding and compliance tasks (badging, drug testing coordination, MVR requests, etc.).
- Track key deadlines like leases, licenses, and renewals, proactively flagging and coordinating next steps.
- Assist with Safety Administration; serve on Safety Committee and as a backup for day-to-day safety administration, including intake of incident reports and routine tracking when the Safety Manager is unavailable.
Who You Are
- You have a bachelor’s degree in business, legal studies, or a related field (or equivalent experience).
- You bring 0–3 years of experience in an administrative, contracts, legal support, or operations role (internships count).
- You have a "Do what needs to be done" mindset, taking ownership beyond assigned tasks and stepping in wherever needed to keep projects, teams, and customers supported and running smoothly.
- You’re highly organized with strong attention to detail and the ability to prioritize effectively.
- You communicate clearly and professionally and are comfortable working with internal teams and external partners.
- You handle sensitive and confidential information with discretion.
- You’re proactive, adaptable, and able to manage multiple priorities in a fast-paced environment.
Nice to Have
- Basic understanding of contract terminology, insurance concepts, or legal language.
- Experience in an AEC or professional services environment.
- Familiarity with contract lifecycle management (CLM) systems.
- Experience with compliance tracking, vendor management, or portal administration.
- Proficiency with tools like Smartsheet or other workflow/automation platforms.
