Job Description: 

Accounting & Payroll Specialist with a strong payroll focus. This role will be responsible for primary payroll processing and payroll-related compliance, while also being actively involved in accounting functions. They will process and manage firmwide payroll, administer bi-weekly payroll and specialty payroll runs, ensure compliance with federal, state, and local regulations, and serve as a key point of contact for payroll-related questions. The Payroll Specialist must be comfortable working with sensitive and confidential information and collaborating closely with Human Resources, Finance, and firm leadership.

Duties and Responsibilities:

            Payroll & Compliance (Primary Focus)

  • Process full-cycle bi-weekly payroll and specialty payroll runs (e.g., bonuses, off-cycle payments) using ADP Workforce Now.
  • Review, manage and validate employee time and attendance records, including overtime, differentials, deductions, and bonuses
  • Ensure payroll accuracy and compliance with applicable federal, state, and local wage and hour laws
  • Respond to payroll-related questions from employees and management in a timely and professional manner
  • Maintain accurate records, including rates of pay, payroll, payments, deductions, benefits, and new hire information
  • Prepare payroll reports for leadership, Finance, and Human Resources as needed
  • Partner with HR to ensure payroll changes align with personnel actions, policies, and benefit elections
  • Maintain strict confidentiality and safeguard sensitive employee information

Accounting & Month End Support

  • Support month‑end close processes, including account reconciliations and assist with ad hoc accounting projects.
  • Manage and accurately record transactions for multiple entities
  • Process accounts payable and accounts receivable
  • Reconcile and manage bank and credit card accounts
  • Strong attention to detail maintaining record keeping in compliance with accounting procedures
  • Maintain organized electronic records in accordance with firm standards
  • High level of integrity and discretion with confidential information

Skills/Qualifications:

  • Proven experience as a Payroll Specialist or in a similar payroll-focused role
  • Required 3+ Years of recent experience with ADP Workforce Now 
  • Advance level of Quickbooks Desktop experience, minimum of 3+ Years of experience
  • Strong organization, time management and task prioritization skills
  • Strong understanding of payroll best practices, wage and hour laws, accounts receivable practices, and payroll tax compliance
  • Experience processing multi-state payroll and setting up payroll in new jurisdictions
  • Demonstrated experience working with federal, state, and local tax agencies
  • Proficiency in using advanced Excel features such as pivot tables, vlookup, charts, and complex formulas to perform financial analysis and reporting.
  • Capable of handling multiple priorities in a high-pressure environment
  • Exceptional attention to detail and strong organizational skills
  • Excellent written and verbal communication skills
  • High school diploma or equivalent required; Associate’s or Bachelor’s degree in business, accounting, or a related field is a plus

Must possess excellent communication skills, be a team player, and have pride in work product. This is a fast-paced position that requires a sense of urgency while maintaining accuracy.

Compensation: $30- $37/hour
