Marketing Coordinator (Contract)

As we expand our presence across Northern Europe, AlertMedia and it's affiliates are seeking a part-time Marketing Coordinator, EMEA (Contract, 5-20 hours/week) to provide support across events and integrated campaigns. 

We are looking for a hands-on, detail-oriented marketing professional to support the planning, coordination, and delivery of marketing initiatives—with a focus on in-person/virtual events and campaign execution. The role will emphasise forward planning, structured execution, and campaign follow-up to ensure deadlines are consistently met and initiatives deliver measurable business impact. This role is primarily home-based, offering flexibility to work remotely. Occasional travel will be required to London and Windsor for planning and event execution.

What you get to do every day:  

Marketing Event Planning & Execution 

  • Support the EMEA-based Marketing Manager in the successful planning and execution of in-person and virtual events, including networking dinners, conferences, and trade shows. 

Project & Task Management 

  • Create new projects in Wrike (project management tool); adding contracted deliverables and adjusting timelines as needed. Collaborate cross-functionally with our US-based marketing team to execute tasks assigned to you. 
  • Attend weekly check-ins with the EMEA Marketing Manager to review progress and priorities. 

Networking Dinners & Private Events 

  • Research and shortlist venues for selection by the Marketing Manager, based on defined criteria. 
  • Liaise with venues before, during and after planned events to coordinate room layouts, technical requirements, food & beverage selections, event timings and access for setup.  
  • Assist with the creation of digital based event invitations and RSVP web pages.   
  • Maintain and update RSVP trackers and share attendee updates and alerts with relevant account owners.
  • Prepare onsite materials including signage, badging and seating plans.  
  • Onsite event support, room setup, and guest registration.   

Conferences & Trade Shows 

  • Research speaking and exhibition opportunities at conferences and trade shows against agreed audience evaluation criteria.
  • Assist with completion of required event orders and documentation including exhibitor profiles, logos, power, internet, health & safety and insurance submissions.  
  • Liaison with suppliers to execute physical booth requirements (stand build, graphics, AV hire, etc.)   
  • Coordinate event staffing, including travel, accommodation, and registration. 

Campaign & Lead Management 

  • Monitor the Marketing Events inbox for replies. 
  • Processing and distribution of leads to relevant sales teams. 

Gifting & Merchandise 

  • Manage weekly sales gifting requests through UK fulfillment agency.
  • Coordinate swag orders, giveaways, and prize draws for events and campaigns. 

What you bring to the role: 

  • You bring proven experience supporting B2B marketing campaigns and events, ideally within the SaaS or technology sector.
  • You’re highly organised and proactive, with strong project management skills and confidence using tools like Wrike, Salesforce, and Outreach.
  • You thrive in a fast-paced environment and can balance multiple priorities while maintaining attention to detail.
  • You’re a clear, professional communicator who enjoys collaborating across teams and managing external partners with care and precision.
  • You’re comfortable working independently, taking initiative to move projects forward while keeping stakeholders informed.
  • You’re open to flexible working arrangements — whether returning to the workforce after a career break, or seeking reduced hours to better balance personal and professional commitments.
  • You’re willing and able to travel occasionally to Windsor and London for planning meetings and event support.
