Key Responsibilities
- Act in a confidential capacity and anticipate the needs of assigned team members.
- Manage clerical tasks and projects under direct supervision.
- Proofread documents for grammar and sentence structure.
- Prepare binders for attorneys (e.g., pleadings, research notebooks).
- Maintain case file information in the Litigation database and electronic document management system.
- Prepare and send correspondence to clients, courts, and attorneys. File court documents via paper or CM/ECF.
- Draft basic legal forms (e.g., pro hac vice motions, court appearances, admissions paperwork).
- Coordinate and prepare attorney travel itineraries.
- Reconcile purchase card expenses and prepare invoice vouchers.
- Manage administrative needs (office supplies, IT support, etc.).
- Fax, scan, copy, and collate legal documents and exhibits.
- Prepare UPS/FedEx shipping labels, packages, and letters.
- Create and edit presentations, memos, reports, correspondence, graphs, org charts, and faxes.
- Create, maintain, and organize hard-copy files.
- Manage Outlook calendars and coordinate meetings, events, and office lunches.
- Assist with special projects as needed and serve as backup for other assistants.
Minimum Qualifications
- 1+ years of legal administrative experience.
