Team Overview
As an Event Coordinator, you are a vital part of the Events team here at ADF. In this role, you are responsible for delivering high-quality, mission-aligned events across the organization. This role involves end-to-end planning, stakeholder collaboration, logistics management, and on-site execution to ensure each event meets ADF’s exceptional standards. You will support and lead events of varying sizes (20-300 attendees), providing outstanding service to both internal and external audiences.
Key Responsibilities
Event Planning and Execution:
- Travel to event locations to manage on-site operations and ensure successful event delivery.
- Deliver a seamless experience for attendees and faculty by providing timely support and problem-solving throughout all stages of the event.
- Continuously identify opportunities to improve event planning processes, logistics, and attendee engagement.
Attendee and Faculty Coordination:
- Serve as the main point of contact for assigned attendees and/or faculty members during the pre-event phase.
- Oversee the registration process, travel arrangements, scheduling, and reimbursement needs.
- Coordinate with A/V and Event Technology teams to ensure all presentation and production needs are met, including session materials and stage setup.
Event Lead and Management:
- Act as the lead planner for assigned events, guiding stakeholders through the planning process and aligning event goals with execution strategies.
- Facilitate planning meetings, assign responsibilities, and manage timelines using project management tools such as Trello.
- Partner with the Event Technology Team to coordinate event registration (Cvent), branding, signage, and printed materials.
- Communicate A/V needs and ensure production logistics are clear and coordinated across teams.
- Maintain ownership of the event budget and ensure cost-effective planning in collaboration with stakeholders.
Logistics Coordination:
- Source and secure event venues, including site research, contracting, and proposal development for stakeholder and legal review.
- Coordinate all logistics such as catering, décor, transportation, supplies, and vendor communications.
- Manage hotel rooming lists and oversee accommodation logistics for attendees and guests.
- Support in-house event needs by collaborating with the Facilities Team and managing shipping for offsite events.
- Monitor expenses and work closely with stakeholders and managers to ensure events are delivered within budget.
Minimum Qualifications
- 2 years of experience in event or conference coordination, ideally within a professional and/or nonprofit setting.
- Proficient in Microsoft Office Suite, including Word, PowerPoint, Excel, and Outlook.
- Strong written and verbal communication skills.
- Proven project management abilities with the capacity to manage multiple events and priorities throughout the year.
- Exceptional interpersonal skills, demonstrating professionalism and courtesy when engaging with ministry friends, guests, attorneys, team members, and vendors.
- Ability to represent the organization with a positive, professional demeanor at all times.
- Well-developed organizational skills with strong attention to detail.
- Thrives in a fast-paced, high-pressure environment while managing multiple priorities.
- Stays composed and solution-focused under pressure or during unexpected challenges.
- Ability to travel domestically approximately 40–60 days per year (may include occasional international travel) as well the ability to work evenings and weekends as needed.
Preferred Qualifications
- Bachelor’s degree preferred.
- Experience coordinating events that include high-profile guests or speakers is strongly preferred.
- Familiarity with event registration and project management tools is a plus (i.e. Cvent and Trello)
