Team Overview
As the Administrative Assistant II, you are a vital part of the Development Team here at ADF. In this role, you will report to the VP of Transformational Partnerships and be responsible for assisting the VP in a variety of administrative tasks, including calendar management, arranging travel, managing expense reports, and other administrative support duties.
Key Responsibilities
- Process expense reports for the VP of Transformational Partnership.
- Use Outlook and Zoom to schedule meetings on behalf of the VP of Transformation Partnerships.
- Participate in meetings, take notes, and disseminate a concise summary of action items.
- Provide timely and accurate reports of activity as requested.
- Upload and update contacts & information in Salesforce.
- Assist as needed with event preparation and follow up.
- Maintain the VP of Transformational Partnership's files and paperwork, including faxing, scanning, copying and collating documents.
- Provide logistical printing and mailing support through the Office Service Center and Mail Room.
- Coordinate the mailing of Marketing Materials, Reports, Holiday Cards, to Ministry Friends.
- Organize and maintain the VP of Transformational Partnership calendar with travel arrangements, and meetings.
- Perform customer service for Development team members including account updates, answering questions, and ensuring Development team members are prepared for ministry friend engagement.
- Answer calls and respond to emails from Development team members with timely and excellent customer service.
- Interface and collaborate with other departments to help the VP of Transformational Partnership effectively and strategically execute ministry friend interactions and asks.
- You will be asked to perform related duties or special projects as assigned.
Minimum Qualifications
- Minimum 3-5 years of administrative experience.
- Experience supporting senior level leadership.
- Experience building relationships and working effectively within a team while managing multiple projects and priorities independently.
- Excellent verbal, written, and interpersonal communication skills
- Strong organizational skills and attention to detail.
- Strong computer skills including Microsoft Office i.e. Word, Excel, PowerPoint and Outlook.
- Strong initiative and self-motivation
- Ability to professionally handle confidential information and interact with high-net-worth individuals.
Preferred Qualifications
- Experience with SharePoint and Salesforce
