Team Overview
As the Facilities Manager for ADF, you will report to the Director of Facilities and be responsible for managing ADF's Scottsdale, AZ headquarters, which includes the office building and grounds. This position includes oversight of facility team members, vendors, and all contract management pertaining to the operations of the building. The Facilities Manager will oversee space planning, operations, asset management, building mail operations, general and preventive maintenance, and new team member facility orientations. We aim to delight our team and guests by creating a joy-filled office environment in service of the ADF mission.
Key Responsibilities
Vendor & Contract Management:
- Negotiate and manage service/vendor contracts for the operational needs of the Scottsdale building.
- Maintain vendor files and documentation, including the master contact list of all vendors associated with ADF.
- Follow proper contract procedures for all maintenance and equipment-related contracts in the Contract Management System.
- Act as the emergency contact for failed building systems and maintain project records.
Financial Oversight:
- Review, approve, and reconcile facilities invoices and expense reports.
- Monitor and track facilities budgets, identify variances, and assist with annual planning.
- Oversee office and break room supply ordering and inventory control.
- Assist Director of Facilities with annual budget planning and tenant spacing.
Facilities Operations:
- Manage daily facility operations and serve as liaison with the Security team for all building activities and maintenance.
- Oversee all renovation projects, ensuring timelines, budgets, and building operations are maintained.
- Coordinate on-site vendors (e.g., landscaping, shredding, pest control) and maintain facility appearance standards, this includes communicating with team members on applicable policies.
- Oversee conference room readiness and set-up for internal and external events.
Office Space & Team Support:
- Manage office moves, workstation setups, and workspace readiness for new team members.
- Collaborate with IT on cable management and space optimization.
- Maintain and assign seating using Space IQ or applicable tools.
- Oversee storage spaces and support special project space needs.
- Assist in managing tenant leases and ensure activities align with the master lease.
- Adhere to ADF security protocols and communicate issues to the Security Team.
- Administer Maricopa County’s Trip Reduction Program.
Event Support:
- Act as Facilities point of contact for events at ADF Scottsdale.
- Coordinate with Events and AV teams on room layout, furniture, and technical needs.
- Manage Facilities Event Service Requests and train planners on room setup and policies.
Office Services & Customer Support:
- Respond to team and tenant facility requests via the service desk ticketing system.
- Support office equipment, furniture, and supply needs.
- Solicit feedback to improve service response and resolution times.
- Serve as primary contact for tenants regarding building operations and maintenance.
- Perform special projects and duties as assigned to support ADF’s mission.
Mailroom & Office Services:
- Oversee mailroom and supply areas, including staff and process management.
- Train users on secure mailroom access and coordinate with the Print House for shipping logistics.
People Management:
- Lead and develop team members through coaching, mentoring, and regular check-ins.
- Foster a culture of trust, service, and innovation.
- Manage staffing coverage, approve expenses, timesheets, and PTO.
- Conduct Career Path Discussions and support professional growth.
Minimum Qualifications
- 5+ years of facilities management experience.
- 2+ years of supervisory experience.
- 2+ years of experience with basic maintenance and repair works.
- OSHA knowledge and implementation of safe working environment for team members and vendors.
- Microsoft Suite, including Word, Excel, and Outlook.
- Ability to prioritize and manage multiple tasks, excellent organizational skills, and attention to detail.
- Flexible attitude and enthusiasm to work in a fast-paced environment with changing demands.
- Excellent communication skills, both verbal and written.
- Excellent customer service and interpersonal skills.
- Willingness to travel 1-2 times a year as well as the flexibility to work nights/weekends as needed.
- Valid Driver's license.
Preferred Qualifications
- Bachelor's degree preferred.
- IFMA membership or similar facilities management certifications.
- HVAC, Plumbing, Electrical and low voltage systems experience preferred.
- General office equipment (copiers, fax, printers, postage meters).
- Space management tools such as Space IQ/Eptura or similar software.
- Travel management systems such as Cloudbeds or Lodgeware.
