Client Experience Coordinator

Allied Maker is looking for a polished professional ready to expand, not someone starting from zero. This is a junior, mentored role for a client-facing professional who already operates at a high standard and wants to grow inside a luxury design and manufacturing studio. The Client Experience Coordinator is often the first voice a client, architect, or designer hears and the first point of contact they interact with in person. The role exists to make every one of those encounters feel calm, competent, and unmistakably on-brand while supporting the Client Strategy team day-to-day.


Key Responsibilities

Client Communication & Phone Presence

  • Answer inbound calls and general inquiries with warmth, composure, and clarity; represent Allied Maker in voice and tone aligned with a luxury studio.
  • Listen carefully, ask the right clarifying questions, and route inquiries appropriately without overstepping.
  • Respond to general email inquiries promptly and professionally; escalate when needed.
  • Handle moments of client frustration with patience and emotional intelligence; maintain discretion and judgment in communication.

Front of House & Daily Operations

  • Welcome visiting clients, designers, architects, vendors, and guests; ensure the arrival experience reflects the brand.
  • Keep client-facing spaces organized, presentable, and ready at all times.
  • Coordinate visitor logistics (scheduling, parking, refreshments, meeting prep) and transitions between meetings.

Administrative & Team Support

  • Support the Client Strategy team with scheduling, follow-up tracking, document preparation, and light CRM updates.
  • Prepare materials for client meetings, showroom visits, trade events, and presentations.
  • Own recurring operational tasks (mail, shipments, sample requests, and inventory of materials) reliably.
  • Maintain accurate client and project information in internal systems.

Learning & Growth

  • Learn the Allied Maker product line: materials, collections, specifications, and design intent.
  • Build understanding of the lighting industry and specifier audience (architects, interior designers, lighting designers).
  • Ask questions, retain knowledge, and apply it in client interactions.
  • Take on increasing responsibility over time as capability grows.

Required Qualifications

  • 1–3 years of experience in a client-facing or administrative role (design, hospitality, luxury retail, gallery, or similar).
  • Professional polish in communication, presentation, and conduct.
  • Strong phone presence: warm, composed, articulate.
  • Strong written communication with attention to tone and clarity.
  • Reliable and consistent; comfortable working within structured expectations.
  • Availability Monday - Friday, 9:00 AM–6:00 PM, on-site in Glen Cove.
  • Emotional intelligence and discretion in client interactions.
  • Comfortable working within a team structure and growing over time.
  • Proficiency with email, calendar, and basic office tools.

Preferred Qualifications

  • Experience in luxury, design, hospitality, or professional services environments.
  • Exposure to architecture, interior design, lighting, or related industries.
  • Familiarity with CRM/project tools (NetSuite, Salesforce, HubSpot, etc.).
  • Interest in materials, craft, or design.

Compensation & Benefits

  • Base salary range: $65,000 – $72,000 annually (based on experience)

Work Environment & Physical Requirements

  • On-site at Glen Cove showroom/workshop, Monday–Friday
  • Client-facing office/showroom environment with occasional shop interaction
  • Requires sitting, standing, moving between spaces, and light lifting (up to 25 lbs)
