SUMMARY:
Our Service Team consistently strives for service excellence. The Service Associate – Client Support is responsible for providing exceptional administrative support to the financial advisory team and ensuring a seamless client experience. This role will focus on assisting with day-to-day client service requests, processing transactions, handling client inquiries, and managing account-related documentation. The Service Associate will collaborate closely with senior team members to deliver high-quality service and contribute to the smooth operation of client services.
This is a full-time, Non-Exempt role based out of our Riverwoods office and requires 5 days of in-office work. This position has an expected base salary ranging from $60k-$70k, with the potential for an annual bonus based on the employees' performance and the companies.
DUTIES AND RESPONSIBILITIES
- Serve as an initial point of contact for clients, addressing inquiries and providing timely responses to their needs via phone and email.
- Assist with scheduling and coordinating client appointments, ensuring all logistics are handled efficiently and accurately.
- Process client requests, including transactions and paperwork, in line with firm policies and procedures.
- Assist in the onboarding process for new clients, ensuring a smooth and positive experience.
- Collaborate with custodians and internal teams to resolve client account issues, transfers, and general service requests.
- Support advisors with client-related documentation, ensuring all forms are complete, accurate, and submitted on time.
- Provide notary services for client transactions as required.
- Maintain up-to-date client records and help ensure accuracy and consistency across internal systems.
QUALIFICATIONS
- 2-5 years of experience in a client-facing administrative role within the financial services or related industry.
- BS/BA degree preferred; high school diploma or GED required.
- Strong communication skills with the ability to establish rapport with clients and colleagues.
- Experience with CRM systems and basic financial software (experience with custodial platforms is a plus).
- Knowledge of financial services industry practices, with familiarity in processing account transactions or client service inquiries.
- Strong attention to detail and accuracy in handling client records and transaction-related documents.
- Ability to multitask and manage competing priorities in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
PHYSICAL REQUIREMENTS
- Works in an office environment
- Requires extended periods of sitting or standing at a desk, talking on the phone, and typing
- Use hands, fingers to constantly operate a computer and office equipment, such as copy machine and printer
- Occasionally move about inside the office to access file cabinets, office equipment, etc.
- May carry or lift weight up to 10 lbs. in very limited occurrences
