Job Summary: 

We are looking for an Entry-Level Enrollment Coordinator who can support a variety of needs within the company's outreach department. As an Enrollment Coordinator, you are often the very first voice a family hears from Ally Behavior. You’ll introduce families to our diagnostic services and ABA therapy program, help them understand our insurance requirements, and guide them through the early steps of getting their child the care they need. This role is equal parts relationship-building, organization, and follow-through, and it’s a launch pad for top performers to grow into our Enrollment Specialist role.

Your Day-to-Day Responsibilities:

  • Serve as the first point of contact for prospective families, initiating outreach and responding promptly to inbound inquiries by text, email, and phone call
  • Conduct warm, informative introductory calls to introduce Ally Behavior’s ABA therapy program and learn about each family’s unique situation and needs
  • Ask thoughtful intake questions to gather the right information so our Enrollment team can provide the best possible support
  • Build trust and rapport from the very first interaction, setting the foundation for the family’s experience with Ally
  • Guide families through the insurance benefit check process, answering questions and setting clear expectations
  • Ensure families are fully prepared for a smooth handoff to their Enrollment Specialist once insurance benefits are verified
  • Manage the inbound referral queue - reviewing incoming referrals, reaching out to referring providers or families when additional information is needed, and ensuring nothing falls through the cracks
  • Accurately log all referrals in our CRM, associating each one with the correct provider account and keeping records complete and current
  • Proactively follow up on outstanding or incomplete referrals to keep the pipeline moving
  • Meet outreach and activity metrics that contribute to the company’s enrollment growth goals
  • Share feedback and ideas to help continuously improve the family experience and enrollment workflows 

Required Qualifications:

  • Bachelor's Degree required
  • Experience using CRM software and tracking/managing potential clients 
  • Familiarity with CRM platforms such as FreshSales, Salesforce or Hubspot
  • Fantastic interpersonal skills and demonstrates excitement to speak with new people 
  • Comfortability speaking with parents over the phone
  • Diligence and thorough work when moving throughout the enrollment process
  • Keen attention to detail, excellent organizational and problem solving skills
  • You have a track record of being assertive, organized, and effective when interacting with with referral sources and customers
  • You possess a deep desire to contribute to the company's traditional and non-traditional digital presence
  • Must be able to pass MD/VA state and FBI background check in addition to a sex offender background check

  • You are compassionate and have a high EQ - we work with families who have children with developmental delays. You take pride in excellent customer service and client experience

  • You are self-motivated and want to move up and grow with our ever-expanding company

Pay Range

$50,000 - $50,000 USD
