Core Operations Specialist, Member Onboarding

We’re looking for a highly organized operator who thrives at the intersection of process management, communication, and cross-functional collaboration. As a Core Operations Specialist on the Member Onboarding & Operations (MOO) team, you’ll manage projects end-to-end that ensure providers are credentialed, enrolled, and set up for success at Alma. You’ll partner closely with internal teams, external payers, and credentialing partners to ensure accuracy, timeliness, and clarity across all workflows.

This role is a perfect fit for someone who is detail-oriented, process-minded, and skilled at building relationships across teams and with external stakeholders. Your ability to own systems and processes, proactively identify improvements, and communicate clearly will make you a key driver of Alma’s growth and provider experience.

 

What you’ll do:

  • Project Ownership: Lead onboarding and credentialing initiatives from start to finish—setting timelines, aligning stakeholders, and ensuring successful delivery.
  • Roster Maintenance: Maintain and submit accurate provider rosters to payers, escalating and resolving discrepancies quickly.
  • Credentialing: Partner with credentialing verification organizations (CVOs) and payers to support provider credentialing, re-credentialing, and enrollment.
  • Provider Onboarding: Manage systems and workflows that enable providers to become active Alma members and start seeing clients without delay.
  • Cross-Functional Collaboration: Serve as a key liaison between the MOO team and stakeholders across Customer Experience (CX), Product, Legal, Compliance, and Network Operations, ensuring smooth communication and alignment.
  • External Partner Communication: Serve as the primary MOO point of contact for payers and partners, resolving issues with clarity and professionalism.
  • Be a Subject Matter Expert: Act as a go-to resource internally for Credentialing, Onboarding, or Roster Maintenance by supporting cross-functional teams and ensuring workflows and standard operating procedures are accurate and understood.
  • Process & Documentation: Create and maintain clear documentation and resources (standard operating procedures, training guides, process maps) to ensure consistency and scalability.
  • Issue Resolution: Proactively identify, troubleshoot, and resolve credentialing or enrollment barriers that may impact provider claims or timelines.

Who you are:

  • Experienced: You have 2-3 years of professional experience, ideally in a fast-paced, high-growth environment, or a data-driven operational role within the healthcare or tech sector.
  • Analytical: Proficient in Google Sheets or Excel with the ability to analyze data, identify patterns, and build scalable reporting. Familiarity with visualization tools (Tableau, Metabase, Lightdash) is a plus.
  • Tech-Savvy: Comfortable with project management and support tools (Asana, Zendesk, etc.), and open to leveraging AI-powered tools (Luminai, Magical, etc.) for efficiency.
  • Detail-Oriented: Diligent about accuracy and quality, especially when managing data or partner-facing communications.
  • Communicative: Exceptional written and verbal communication skills; able to distill complex information for different audiences (executives, payers, providers, cross-functional partners).
  • Collaborative: Skilled at building trust and working effectively with internal teams and external partners, including payers and CVOs.
  • Organized: Strong project management skills; comfortable setting timelines, aligning stakeholders, and driving projects forward independently.

Salary Band: $75,000 - $90,000
