
Content Coordinator

ROLE OVERVIEW
The Content Coordinator will support the in-house Content team at ALOHA Collection in planning and executing photo and video productions across studio and location shoots. This role focuses on organization, logistics, and on-set assistance to help ensure smooth production days and timely delivery of assets. The Content Coordinator will also help streamline workflows, track production timelines, and support the team in executing high-quality content efficiently.
The ideal candidate is detail-oriented, collaborative, and eager to grow their skills in creative production within a fast-paced brand environment.
WHAT YOU'LL DO
- Assist with coordinating contractors, securing studio space, organizing and packing products, props, and wardrobe, and preparing gear for shoots.
- Support the Creative Production Specialist with sourcing and tracking props and product samples.
- Help coordinate logistics with contractors (photographers, videographers, crew, and talent) under the direction of the Senior Content Manager.
- Assist with securing necessary permits and approvals for on-location shoots, ensuring compliance with local regulations.
- Route contracts and usage agreements for signature and maintain organized documentation.
- Create and distribute call sheets and keep production calendars updated.
- Provide on-set support both in studio and on location to include but not limited to: styling assistance, product prep, set organization, & gathering coffee & lunch orders.
- Travel for lifestyle shoots, sometimes international, and act as on-set Production Assistant.
- Track and confirm arrival of final product samples before shoots.
- Assist with content organization, file naming, and delivery of assets to the appropriate teams.
- Assist with asset optimization requests from Digital team, under guidance of the Creative Production Specialist
- Help track post-production timelines and route edits for review.
- Maintain photo studio and storage areas in clean, organized condition.
- Purchase basic production supplies as needed with manager approval.
- Document and track project timelines and deliverables in team project management tools.
- Support process improvement initiatives to enhance production efficiency and asset management.
- Assist with basic reporting on production budgets, timelines, and resource usage.
- Collaborate with cross-functional teams to anticipate production needs and provide proactive solutions.
- Assist with shooting and light editing of social and video commerce content in CapCut for Tolstoy.
- Provide general administrative and logistical support to the Creative team.
- Additional responsibilities may be assigned to support department initiatives
EXPERIENCE WE'RE LOOKING FOR
- 1–3 years of experience in content coordination, production assistance, or related field (internships welcome).
- Basic understanding of creative production for photo, video, or eCommerce.
- Proficient in Google Workspace; familiarity with Adobe Creative Suite is a plus.
- Strong organizational skills with attention to detail and follow-through.
- Ability to lift/move production gear up to 35 lbs and travel for on-location shoots occasionally.
- Familiarity with basic location permitting processes or willingness to learn.
- Strong aesthetic sensibility and understanding of visual storytelling and brand identity.
- Strong organizational skills and the ability to manage multiple productions simultaneously.
- Comfortable shooting content on an iPhone and performing light edits using CapCut.
- Proactive problem-solver with excellent communication and interpersonal skills.
- Comfortable working in fast-paced, deadline-driven environments with frequent cross-functional collaboration.
WORK ENVIRONMENT
- Hybrid role based in Encinitas, CA.
- Must be in office a minimum 3 days/week.
- Frequent travel for location shoots.
- Must have a current Passport for international travel.
- Must be able to lift up to 35 lbs.
