Compensation: $25-$30 per hour, based on experience
The Opportunity
Alpha Inc. is seeking a highly organized and detail-oriented Process Coordinator to support our special projects by ensuring smooth operations across administrative, logistical, and vendor-facing functions. This is a unique opportunity to work behind the scenes to enhance structure, drive process improvements, and contribute to the success of internal operations and special projects.
In this dynamic role, you’ll work closely with multiple departments to manage inventory, events, supply coordination, and data tracking. You’ll be a central point of communication between teams, vendors, and executive leadership. What You Will Do

Track and maintain accurate records for donations, guest and RSVP lists, and vendor contacts

Coordinate vendor logistics, including event rentals, office and cleaning supply orders, and pick-up arrangements

Assist in creating and updating task lists for the Estate Manager and executive team

Manage non-event inventory tracking and updates across departments
-
Collect, log, and submit receipts for approval; maintain a detailed company expense log

Collaborate with event teams on logistics, menu printing, and guest management

Coordinate NDA and access control efforts with the Head of Security

Support administrative filing related to security, estate, and executive operations

Maintain and monitor performance metrics for internal evaluation

Manage subscriptions, renewals, and administrative platform access

Update and maintain an accurate and current contact database

Perform additional duties and special projects as assigned
What You Bring
-
2+ years of experience in administrative support, operations, or logistics coordination

Associate’s degree or higher in Business Administration, Operations, or a related field preferred

Strong proficiency with Microsoft Office Suite (Excel, Word, Outlook) and Mac platforms

Outstanding organizational and multitasking skills with a high attention to detail

Strong written and verbal communication skills

Experience managing vendors, tracking inventory, and handling procurement

Prior experience supporting event planning and logistics is a plus

Ability to work both independently and collaboratively in a fast-paced environment
