ABOUT THE ROLE
The Alumni and Parent Relations Coordinator is responsible for fostering meaningful connections between alumni, parents and the institution. This role involves developing and implementing engagement strategies,
managing relationships, overseeing database accuracy, coordinating events, and ensuring effective communication.
RESPONSIBILITIES
- Alumni Engagement: Co-developing and implementing strategies to engage and connect with alumni, fostering a sense of pride, loyalty, and continued involvement with the organization.
- Managing relationships with internal and external Alumni stakeholders ( eg, meeting with connections referred from spd team, ALUmni council, wellness team, e.t.c)
- Database Management: Oversee the maintenance, and accuracy of the alumni database, including contact information, employment details, and other relevant data in collaboration with the impact team.
- Co-managing the transition of students to becoming ALUmni through the Life
Beyond the ALU program
- Building and carrying out ALUmni Engagement strategies on their participation in ALU/ALCHE Impact Surveys
- Admin workstreams: Updating the alumni stories bank, email query support, job posting,tech related support, connecting ALUmni with each other, with students and with the institution, celebrating ALUmni successes, etc.
- Communication and Outreach: Defining ALUmni communication touchpoints and co-curating communication & Quarterly newsletters.
- Event Planning and Execution: Planning and execution of alumni-focused events, such as reunions, networking receptions, career fairs, e.t.c
- Continuously seeking ways to connect ALUmni with the right people/ systems and processes in areas they seek support, eg wellness support, career support, mentorship programs, hiring pipeline for organisations, experts in different fields, etc.
- Managing and monitoring the success of all ALUmni engagement programs, i.e Mentorship, Campus visit, webinar series, e.t.c
- Ensuring you operate within our institution's data privacy requirements with sharing of alumni data to internal and external stakeholders.
- Alumni Benefits and Services: Collaborating with relevant departments to develop and manage benefits and services for alumni, such as career services resources, Opportunity sharing, lifelong learning opportunities, e.t.c
Parents Relations
- Serve as the main point of contact for parents, addressing their inquiries, concerns, and requests promptly and with utmost professionalism.
- Develop and maintain strong relationships with parents, fostering a sense of trust and open communication.
- Provide information and guidance on ALU's programs, policies, and procedures to parents, ensuring they have a comprehensive understanding of the university's mission and values.
- Coordinate parental involvement in student activities and events, facilitating effective communication between parents and relevant university departments.
- Organize regular information sessions, workshops, and orientations for parents to enhance their awareness of ALU's academic, extracurricular, and support services.
- Collaborate with the Admissions team to assist parents in enrollment, offering guidance on financial aid, scholarships, and other relevant matters.
- Act as an advocate for parents and students, representing their needs and interests within ALU's administration and decision-making processes.
- Support parents throughout the academic year, ensuring they are informed of their child's progress, challenges, and achievements.
- Create and distribute newsletters, parent handbooks, and other communications to inform parents about important updates and events.

- Ensuring you operate within our institution's data privacy requirements with sharing of alumni data to internal and external stakeholders.
- Alumni Benefits and Services: Collaborating with relevant departments to develop and manage benefits and services for alumni, such as career services resources, Opportunity sharing, lifelong learning opportunities, e.t.c
- Identify opportunities for enhancing the parent experience and propose initiatives to strengthen parent involvement and engagement within the ALU community.
- Collaborate with marketing and recruitment teams to assist with parent testimonials and promotional materials that showcase the positive impact and experiences of ALU parents and their families.
- Maintain accurate records and documentation related to parent interactions and ensure confidentiality is upheld.
- Stay informed about current trends and best practices in parent engagement and incorporate relevant approaches into ALU's processes.
Ensure the safety and well-being of all young persons and vulnerable adults with whom we deal, by adhering to ALU’s comprehensive safeguarding policy, maintaining a zero-tolerance approach to any violations of safeguarding standards.
SKILLS AND EXPERIENCES
- Bachelor's degree in a related field (education, administration, communications, or a relevant social science discipline).
- Minimum of 2 years of relevant experience, preferably in an educational or customer service setting.
- Strong interpersonal and communication skills, with the ability to build relationships and engage effectively with diverse groups of parents and stakeholders.
- Excellent problem-solving and conflict-resolution skills, with a proactive approach to addressing parents' concerns.
- Demonstrated ability to work collaboratively in a team-oriented environment, balancing multiple tasks and priorities.
- Familiarity with educational environments and an understanding of student support systems.
- Proficiency in using G Suite and other relevant software applications.
- Fluency in English; additional fluency in another primary African language will be an advantage.
- A positive attitude, flexibility, and cultural sensitivity. Willingness to work occasional evenings and weekends, as required.
- Familiarity with ALU's mission and values, and a genuine interest in supporting young African leaders in their educational journeys.
Under the Alumni and Parent Coordinator role, you will report to the ALUmni & Parent Engagement Team Lead. You will also get to work and support the team’s intern within their role portfolio.
