ABOUT THE ROLE

The Academic Operations Intern is key in supporting the Dean of Undergraduate Programs to deliver an exceptional student experience at ALU Rwanda. The intern assists in managing key projects that cut across academic, non-academic, and facilities teams, including initiatives that involve collaboration across the university. This role also includes supporting data collection and review from various departments to help identify opportunities for improving both academic and non-academic operations. It’s a great learning opportunity for someone interested in academic operations and cross-functional project work.

RESPONSIBILITIES

Data Support

  • Assist with collecting, organizing, and analysing data from Student Life, Academic, and Operations teams.
  • Help track key performance indicators and support basic data analysis under supervision.
  • Contribute to drafting periodic reports by compiling inputs from different teams.

Project Support

  • Support the coordination of academic and cross-functional projects led by the Dean.
  • Help document timelines, key tasks, and meeting notes to keep projects on track.
  • Assist in gathering inputs and updates from departments involved in project work.

Academic Operations Assistance

  • Help document academic improvement plans and track progress with guidance from internal teams.
  • Support the maintenance of the central campus calendar by updating scheduled activities.
  • Assist in organizing learning materials and preparing for the start of each semester.
  • Support coordination for academic events by liaising with relevant stakeholders.

Student Experience Support

  • Assist in collecting student feedback and organizing it for review.
  • Help follow up on improvement plans by tracking key action items.
  • Contribute to monitoring student experience indicators like Net Promoter Scores and satisfaction ratings.

Academic Communications Assistance

  • Support the drafting and distribution of academic updates, announcements, and policy changes.
  • Help ensure timely communication between students and relevant academic teams.
  • Assist in managing academic queries by routing them to the correct departments.
  • Help support the student help desk operations by tracking queries and response times.
  • Adhere to ALU’s safeguarding policies to ensure the safety and well-being of all students.
  • Liaise with student leadership and the Dean’s Circle.

REQUIREMENTS

  • In good academic, financial, and disciplinary standing.
  • Strong interest in academic operations, project coordination, or student support services.
  • Good organizational skills and attention to detail.
  • Good data analysis skills and comfortable learning to use new tools
  • Strong written, presentation, and verbal communication skills.
  • Ability to collaborate effectively and respectfully with fellow students, faculty, and staff.
  • Familiarity with tools like Canvas, Salesforce, or Freshdesk is a plus, but not required
