Role: Accounts Payable Associate

We are looking for a detail-oriented and dependable Accounts Payable Associate to support our finance team in the fast-paced HVAC supply industry. This role is responsible for the accurate input and processing of accounts payable transactions, reconciling vendor statements, and maintaining project cost accuracy. The position also handles employee expense reimbursements and requires experience with Microsoft Dynamics 365 Business Central.

Responsibilities: 

  • Enter and post accounts payable transactions into Microsoft Dynamics 365 Business Central.
  • Match purchase orders, invoices to ensure accuracy and adherence to the matching principle.
  • Reconcile vendor statements and resolve discrepancies promptly.
  • Maintain accurate project and job costing records, particularly for HVAC equipment and supply orders.
  • Process employee expense reimbursements in line with company policy.
  • Assist with month-end and year-end closing procedures related to accounts payable.
  • Communicate with HVAC vendors and internal teams (e.g., procurement, warehouse, and operations) to resolve invoice and payment issues.
  • Ensure compliance with internal accounting controls and company policies.
  • Support internal and external audits by providing necessary documentation.

Requirements:

  • Experience in Accounts Payable or a similar finance role.
  • Proficiency with Microsoft Dynamics 365 Business Central is required.
  • Solid understanding of accounting principles, especially the matching principles.
  • High attention to detail and accuracy in data entry and reconciliation.
  • Strong organizational and time management skills.
  • Proficient in Microsoft Excel and other Office applications.
  • Effective communication skills for working with vendors and internal departments.

Preferred Skills:

  • Associate or bachelor’s degree in accounting, Finance, or a related field.
  • Experience in the HVAC supply, construction, or distribution industry.
  • Familiarity with inventory and job costing systems related to HVAC parts and equipment.
  • Knowledge of general ledger coding and cost allocation practices.
  • Experience with multi-entity or multi-location accounting environments.
  • Exposure to other Microsoft Dynamics 365 modules (e.g., Inventory, Projects).
  • Ability to work independently and collaboratively in a high-volume, deadline-driven environment.

Estimated compensation: $55,000-$60,000/yr with flexibility based on experience and skills.
